Essential Duties and Responsibilities include the following. Other duties may be assigned.

Knows and follows all safety policies and procedures. Ensures that co-workers are also following safety rules.

Commitment, awareness and involvement pertaining to ISO (policy, standards, procedures, etc.) and food safety practices (GMPs, procedures, etc.) are requirements of all employees.

Welcomes on-site visitors in a professional, polite and friendly manner, determines nature of business, issues visitors’ badges and announces visitors to appropriate personnel. Verifies that necessary NDAs are in place before visitors enter production areas. Answers visitors’ inquiries about the company and its products. Monitors company sign-in log for sister facility visitors. Maintains facility security by screening anyone entering the building according to our security and safety guidelines before granting access.

Follows outlined protocol for facility emergencies including notification of appropriate company personnel and calling 911 when directed. Keeps area clear of obstacles, including employees to allow emergency response team immediate access to the facility and /or area of need. Follows up with root cause analysis for processes and procedures needing improvement.

Answers incoming telephone calls, determines purpose of callers and forwards calls to appropriate personnel or department. Retrieves messages from company’s overnight and weekend voicemail and forwards to appropriate personnel. Immediately escalates all calls from government agencies or subpoena deliveries to Human Resources before responding.

Greets employee applicants interested in employment by providing information about open positions and/or distributing and collecting company application and other documents when directed. Also greets applicants coming in for interviews in a friendly, professional, and helpful way initiating dialogue and offering refreshments.

Maintains safe and clean receptionist area, as well as first floor conference rooms by complying with procedures, rules and regulations.

Responsible for petty cash transactions including distribution and balancing monthly.

Assists in the planning and preparation of customer and supplier visits, as well as in-house meetings by coordinating conference room set up, refreshment offering, office supply needs, lunch ordering and/or other items when requested. Submits appropriate credit card documentation per company guidelines.

Is resourceful and proactive in dealing with issues that may arise in the course of your daily Receptionist duties. Secures assistance from HR Manager when needed.

Receives, sorts, and routes incoming U.S. mail and prepares outgoing U.S. mail. Keeps current labeling on employee mail box slots. Coordinates the pick-up and delivery of express mail services. Actively finds best cost alternatives for outgoing Fed Ex packages including securing outside resources for international deliveries.

Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs of the business as observed in her Receptionist responsibilities; brings issues or concerns to HR Manager to facilitate trouble-shooting discussions and solutions.

Trains new office personnel in receptionist-related policies and procedures. Trains backups for the reception area in all aspects of reception duty to ensure coverage for vacations and other leaves.

Maintains confidentiality and exercises discretion at all times.

Assists with various clerical projects and duties from Executive Administrative Assistance and / or Human Resources and other departments as directed by the receptionist manager.

Demonstrates appropriate attitude in all dealings with coworkers, customers, and suppliers.

Consistently at work and on time.

Other duties as assigned.
