Responsibilities
This full-time position will track and support Allan Myers comprehensive range of training and development programs. The role will support the Learning and Development department by entering training data and running reports for various training programs. The Administrative Assistant will support the Learning Management System (LMS) and the users of the system and perform special projects as assigned. As a member of this fast-paced team you will communicate and interact with many people across the company and contribute to meaningful initiatives to support our rapidly growing organization. The position will report to the Senior Training Specialist in the Learning and Development department. Support logistical activities to support company-wide training, including but not limited to: sending training invitations via email and text, tracking responses and following up, booking hotel room reservations and other delivery support as needed. Prepare and distribute training course advertisements, class materials, mailings, rosters. Perform miscellaneous reporting such as records of courses taken and records of classes Process course enrollments and all attendance sheets for training classes. Assemble materials or mailings for training classes and activities. Assists with the administration for company development programs. Communicate with employees via various systems including, phone, email, media message system and the learning management system. Update employee information and track text message responses. Setup new contractor users in LMS, provide assignments. Maintain department resource email box. Coding of CMiC L&D invoices as needed. Provide administrative support to L&D director as needed. This support may include travel arrangements, expense management, calendar management, etc. Communicate with on-site vendors who provide ongoing building maintenance Coordinate conference room space, catering orders and other resources as needed for certain campus events. Provide welcome to new employees in building to include nametags and orientation documents. Support and recommend technical solutions to automate and streamline the collection and maintenance of training records. Document processes and look for opportunities to optimize process and use of technology. Performs other job-related duties as assigned.
Qualifications
Minimum requirement: associate's degree in human resources, business administration, education or a related field or three years of directly related human resource or administration, event management or planning experience Bachelor's Degree preferred Experience with learning management systems desired Experience in a corporate training environment preferred Experience in the construction industry preferred Excellent written and verbal communication and listening skills Excellent customer service skills Proficient in Microsoft Office Suite, especially Excel and Outlook Experience in planning and scheduling Adaptable, analytical, and detail oriented Excellent project management, time management and organizational skills Ability to work independently, take initiative, problem solve and handle multiple tasks with ease Strong judgment and ability to work independently Solutions-orientation, ability to work under critical deadlines and changing priorities, and adapt to change Customer service-orientation, and strong interpersonal skills Ability to learn new technology systems require Experience working in a position that required attention to detail, flexibility, and a high degree of organization Must represent Allan Myers internally and externally in a positive, professional and friendly manner
PHYSICAL DEMANDS: Up to 25 lbs lifting and up to 25 lbs carrying Reaching, bending, and kneeling No or very imited exposure to physical risk
WORK ENVIRONMENT: Work is normally performed in a typical interior/office work environment. Work environment requires working occasional evenings.
TRAVEL REQUIREMENTS: Some travel to offsite business units and jobsites may be required.
