The Service Assistant partners with the Service team in providing responsive solutions to both our customers and internal colleagues. This role is designed to enhance the overall function of the Service Department by facilitating customer service requests for work performed by our technicians and routing to the appropriate resources. You will assist with technical troubleshooting, estimating, training and detailed documentation as well as support for other areas on the service team. High-level attention to detail, excellent communication, analytical skills and follow-through are necessary for this role.
As a Service Assistant you will:
Provide support to Technicians, Project Managers, and department leadership including project analysis and compliance, document control, coordinate and attend required meetings, assist estimating team, promote a safety conscious work environment, and support the service/preventive maintenance (PM) team as needed.
Become well versed in all aspects of Field Service Module, support the technician/field functionality, and quote field deficiencies (HVAC-R and Plumbing) on daily basis. Work with Service Coordinator on Field Quote service orders for proper allocation to techs.
Work with estimators to quote project, service-related and retrofit related work, including estimates and take-offs; help support the proposal process as needed.
Answer service phone calls/emails and follow up on all customer requests in a timely manner. Enter service requests into field service module and manage initial allocation through final completion to include rescheduling the technician if unable to complete a job.
Monitor and manage the Allocation screen and Open Work Order screen and schedule as soon as possible.
Appropriately document verbal or email work requests, confirming the “bill to” and any other billing requirements, such as the purchase order number, not to exceed amounts, warranty work, confirm billable work, or related work details, prior to entering in to Dispatch software program.
Manage technicians’ long range on-call schedule for after hours and weekend service requests.
Manage workflow and customer complaints, referring to Department Leader as required.
May assist with Accounts Receivable collections.
Other duties as assigned.

The Qualifications:
One-year experience in a complex business office and ability to work in a fast-paced environment.
Effective communication skills – oral, written, and presentation
Proficient in Microsoft Office programs, including Outlook, Word, Excel, and Power Point.
Knowledge of reading blueprints and the integration of the multiple buildings systems is required; knowledge of mechanical HVAC and plumbing systems preferred.
Desire to master construction concepts, bring every project to successful conclusion.
Excellent verbal and written communication skills
Well-developed organizational and time management skills; ability to schedule/coordinate projects to meet expressed deadlines
Valid State Driver’s license, and ab le to travel to project sites.
Previous experience in Maintenance, Service or Construction is preferred.
Benefits and Compensation:
This role will be fully in-office based in our Windsor Colorado office, requiring occasional travel. The pay range is $21.00 and 28.00 per hour depending on job-related knowledge, skills, and experience. Some benefits include:
