Hours: Mon-Fri. 7:30 a.m.-4:30 p.m. Bargaining Unit Position: No

Probationary Period: 365 Days Reports to: Clerical Supervisor

Starting Pay Range: $16.28-$21.01/ hour (Based on prior work experience)

Essential Job Duties/Responsibilities: The clerical staff member supports direct service staff and customers in all program areas (Family Services, Child Support, Child Protection Unit, Ohio Means Jobs) by performing the following duties:

· Answers multi-line telephones, directs calls, takes messages, greets, and directs visitors.

· Opens, sorts, date stamps, scans, and distributes mail; collects, prepares, and delivers mail.

· Processes returned mail and follows record retention policy; prepares documents for storage.

· Maintains a variety of logs, calendars, schedules, lists, and packets.

· Acts as a resource to agency staff and assists in locating, formatting, and completing requested form and resources.

· Responds to routine inquiries, provides, and obtains accurate information, assists with problem solving, makes referrals and assists in completing forms.

· Navigates program eligibility systems (EDMS, SETS, SACWIS, OBWP) and office software, databases, and word documents; scans confidential information into various EDMS systems.

· Receives, receipts, and balances all cash payments received.

· Receives, sorts, date stamps, and verifies agency documents and information received including, but not limited to, applications, vouchers, invoices, payments, forms, notices, court documents, and client information.

· Types a variety of correspondence and other documents; performs data entry; creates and maintains spreadsheets and mailing lists; types and files a variety of correspondence, forms, and other documents.

· Assists in organization of various agency community awareness and education efforts.

· Maintains and operates office machines including but not limited to phone system, fax machines, copiers, scanners, postage meter, and video conference equipment. Replaces ink cartridges, stocks copier with paper, and reports/requests maintenance to keep the equipment in working order.

· Attends and participates in trainings and meetings relevant to the position.

· Performs other duties as assigned.

· Physical demands: Although work is largely sedentary, may occasionally require lifting and/or carrying supplies up to or rarely more than 30 pounds.

 

 

Minimum Qualifications:

· Must be able to complete essential job duties above.

· High School Diploma or GED

· Valid Ohio Driver's License required liability auto insurance, and reliable transportation.

· Regular and predictable attendance; ability to follow agency policy and practice.

· Background checks consistent with requirements as outlined in OAC 5101:2-5-09 must be completed prior to employment. This includes, but is not limited to, the following:

o Ohio Bureau of Criminal Identification (BCI)

o FBI

o State Automated Child Welfare System (SACWIS)

o State Child Abuse/Neglect Central Registry Check for any state in which the applicant resided in the last 5 years.

o National Sex Offender Public Website

o Bureau of Motor Vehicles

o Pre-Employment Drug Screening

 

Preferred Qualifications:

· Experience in clerical, business/office practices.

· Excellent computer skills and ability to work in a fast-paced environment; Experience using various Microsoft Office programs including, Word, Outlook, Excel, etc.
