UniFirst Corporation is seeking a detail-oriented and highly organized ERP Project Coordinator to support the seamless deployment and transition to our new ERP system. This role will be crucial in managing the logistics of the ERP implementation, maintaining project documentation, and coordinating key activities and meetings. The ideal candidate will collaborate with project managers, IT teams, business stakeholders, and external vendors to ensure the project runs smoothly from planning to post-implementation.

Project Coordination for ERP Implementation:

  • Resource Scheduling & Conflict Management: Efficiently schedule resources, ensuring there are no conflicting events or double-booked resources during critical project phases. Coordinate and balance team availability to optimize time and resource utilization.

  • Vendor Management: Work with external ERP vendors and consultants to ensure the appropriate people are represented in meetings (virtual and on-site).

  • Meeting Coordination & Support:

  • Manage the Project Deliver Inbox and calendar, ensuring that all requests, meetings, and activities are tracked and scheduled.

  • Work with the ERP Project Management Office (PMO) to field meeting requests and handle logistics.

  • Assist in maintaining project meetings by ensuring smooth technical operations (screen sharing, audio, and visual setup) and troubleshooting any issues that arise.

Document & SharePoint Management:

  • SharePoint Site Management: Organize and maintain the SharePoint site for the ERP project, ensuring all documents are stored correctly and easily accessible by team members. Manage project folders, version control, and up-to-date files.

  • RT1 Documentation & Archiving: Assist in organizing and archiving RT1 documentation, ensuring it is properly categorized and stored for future reference. Support version control and updates as the project progresses.

Access & Permissions Management:

  • Manage and track access and permissions for project-related systems, ensuring that team members have appropriate access to files, folders, and tools on SharePoint and other platforms.

  • Coordinate with IT and PMO to ensure security standards and compliance with access control protocols.

  • Support onboarding by granting necessary access to new team members.

Team Meetings & Presentation Support:

  • Assist in the preparation of team project meetings, including scheduling, organizing agendas, and ensuring that all materials are available ahead of time.

  • Support the preparation of Steering Committee presentations, including compiling reports, slides, and other content for high-level project updates.

  • Ensure meetings are well-organized, assist with logistics, and manage virtual or in-person meeting spaces.

Documentation & Reporting Support:

  • Maintain accurate and up-to-date project documentation, ensuring that all records are filed according to project protocols.

  • Assist the ERP PMO and other team members in generating reports and summaries to document milestones, issues, and progress

General Project Support:

  • Provide administrative support for ongoing ERP implementation activities, ensuring that project documentation is consistently maintained across all project phases.

  • Assist in the day-to-day operational tasks required for a successful ERP implementation.

Qualifications

Education:

  • Bachelor’s Degree preferred or relevant professional experience

Requirements:

  • Minimum of 2 years of experience in meeting logistics, project coordination, or ERP implementation.

  • Strong knowledge of SharePoint for document management and collaboration.

  • Experience managing documentation and archiving processes for large-scale projects.

  • Familiarity with access control systems and permissions management.

  • Excellent organizational, time-management, and communication skills.

  • Ability to handle sensitive information with discretion and maintain confidentiality.

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools (e.g., MS Project, Jira, Asana).

  • Ability to troubleshoot and resolve technical issues related to virtual meetings (audio, screen sharing, etc.).

  • Attention to Detail: Strong focus on accuracy in logistics planning, meeting preparation, and documentation management.

  • Collaboration: Ability to work across teams to facilitate information sharing and contribute to a collaborative work environment.

  • Project Coordination: Strong skills in managing multiple project elements and resources efficiently.

  • Adaptability: Comfortable working in dynamic environments and adjusting to project changes or challenges.
