JOB SUMMARY
Under limited supervision of the Administrative Office Manager, the Administrative Assistant provides a variety of administrative, logistic, and badging services at the BP Whiting Refinery Emergency Services Building (ESB). The ESB admin support is responsible for all clerical and coordination services, including the ability to cross-train at various buildings and gates on site.
The position requires a high level of customer service skills; work activities demand a high attention to detail and accuracy, and will require interacting professionally by phone, email, and in-person on a daily basis. The general responsibilities of the position include those listed below, but the company may identify other duties for this position. These responsibilities may differ depending on business necessities and client requirements.
REQUIRED QUALIFICATIONS
High School diploma or equivalent
Minimum of 18 years of age
1-2 years previous experience as Administrative Support
Excellent verbal and written communications skills
Strong customer service skills
Ability to work well independently and in collaboration with others
Proficiency with Microsoft Office
Must have reliable transportation to/from the work site. Valid driver’s license preferred.
As a condition of employment, must be able to successfully complete a criminal background investigation, drug screen, and a post-offer physical.
ESSENTIAL FUNCTIONS
Assist with budget management.
Sourcing and procurement for Emergency Service Building: Kitchen and office supplies and PPE.
Request, maintain, and manage purchase/change orders for site needs.
Coordinate and track use of site conference room and shared spaces.
Facilitate on-site and off-site team training schedule and accommodations.
Coordinate training with external trainers and vendors.
Maintain and track Officer/ESB employee certifications and renewal dates.
Coordinate vehicle licensing, registration, and emission documentation.
Assist with visitor badging services.
Assist with candidate interview logistics.
Assist with the onboarding orientation of ESB new hires.
Maintain ESB data management programs and files.
Support with special events.
Coordinate services provided by outside vendors.
Assist with outside agency networking and fostering relationship building.
Willingness to cross-train with administrative clerical, badging, and reception services.
Willingness to perform other duties as required.

WORKING ENVIRONMENT

PHYSICAL DEMANDS
The employee’s work requires routine walking, standing, bending and carrying items weighing less than 20 pounds. Candidate will be required to successfully complete a post-offer pre-hire physical.
