Job Description

The Legal Assistant will report directly to the Vice President, Regional Counsel. This role will also support other attorneys in the regional group. Duties will include assisting the attorneys with claims, litigation, subpoenas, corporate and regulatory matters, including investigatory support.

Key Responsibilities :

  • Assist with researching and obtaining information, records, and documents.

  • Assist with preparation of responses to state and local real estate regulatory agencies.

  • Prepare drafts of routine court filings, such as subpoenas, motions for extensions of time, notices of appearance, hearings, and depositions, etc.

  • Perform administrative tasks related to litigation, including electronic filing and service of court documents, bate-stamping, calendaring, scheduling of hearings and depositions, etc.

  • Assist attorney team on office systems and company procedures, including maintaining litigation database (T360), legal holds and releases, vendor setup forms and check requests.

  • Maintain legal databases and office files as well as general file organization.

  • Effectively communicate with high-level executives both internally and externally.

  • Prioritize correspondence (i.e., proactively identify e-mails and/or other correspondence in need of immediate attention)

  • Create and maintain spreadsheets, PowerPoint presentations and Word documents.

  • Other ad hoc duties and projects as assigned.

Requirements:

  • Bachelor’s degree preferred

  • Experience in Florida state court litigation support

  • Proficiency with use of standard company office systems and technology

Minimum Qualifications:

  • 2-5 years litigation related and legal support experience

  • Ability to multi-task and work independently and collaboratively in a team environment

  • Effective communication and interpersonal skills

  • Strong organizational and time management skills

  • Excellent MS Office 2003 skills (Word, Excel and Outlook)
