Job Description

The Naval Nuclear Laboratory (NNL) Financial Services (FS) team is looking for a Business Administrator to support invoicing. This role is responsible for working collaboratively with Accounts Payable, Procurement, and requestors within the organization to ensure the timely payment of invoices. This role has the responsibility to monitor invoices on hold, work with suppliers to resolve invoice related discrepancies, address supplier inquiries regarding invoicing, and review all incoming invoices to ensure base level requirements are met. The individual in this position will communicate professionally both internally and externally to resolve issues and problem solve. Responsibilities: Collaborate with team members to address any barriers to successful invoice processing or payment by tracking and monitor unpaid invoices, identify issues causing delays, and work proactively to resolve them. Responsible for working with requestors, accounts payable, and the procurement department to facilitate the resolution of rejected invoices with suppliers; inform the Supplier of the rejection, specifying the reasons and necessary corrections required for resubmission, which would include a revised invoice number / date. Timely respond to supplier inquiries related to invoices, payments, and account information via emails or calls Monitoring the invoice hold report and engaging with necessary stakeholders to resolve outstanding items on hold Analyze metrics relating to invoice payment timeliness, hold durations, and aged items Implementing new processes or improving existing processes to continuously drive improvements in invoice processing performance Draft and send clear, concise, and professional internal/external communication on behalf of the organization Generate and maintain reports on invoice status, payment trends, and unresolved issues, providing insights and recommendations for improvement. Provide first-line support to internal departments regarding invoice processing, payment inquiries, and general invoicing procedures Work with suppliers to secure refunds or reimbursements as needed Ensure all invoice processing and payment activities comply with company policies and procedures, as well as applicable laws and regulations

Required Combination of Knowledge and Skill

High school diploma or equivalent and a minimum of 4 years of relevant experience; or Associate's degree from an accredited college or university in a related field.

Preferred Skills

Strong analytical skills with attention to detail. Excellent communication skills for effective interaction with internal and external stakeholders. Ability to handle multiple tasks and prioritize work effectively, independently and as part of a team. Proficiency in Microsoft Office Suite, particularly Excel. Experience with accounting or procurement software is preferred. Previous experience in accounts payable, procurement, or a related financial role. Familiarity with invoice processing and supplier management.

Pay Range $41,300.00 - $62,000.00 annually Salary information provided is a general guide line only.
