JOB SUMMARY:
Under the supervision of the Associate Director of Self-Directed Services, this position is responsible for performing administrative tasks and providing support to the Fiscal Intermediary (FI) and Self-Directed (SD) Program. This role operates within a team environment, with responsibilities delegated and managed by the FI team in response to support requests. This is a part-time position at 20 hours each week.
JOB FUNCTIONS:
Regulatory and Corporate Compliance
Ensure records, files and reports are kept secure and confidential.
Ensure CMS Roster is updated Monthly. Ensure CHOICES Rosters are kept up to date.
Complete FI, Respite, CH and Broker DDP2’s.
Ensure accuracy of expense reports before distribution.
Assist and ensure accuracy of the Single Point of Contract tracking for Life Plans, Staff Action Plans, and Safeguards.
Ensure caseload changes in eVero and the spreadsheet are accurate to ensure proper billing.
Financial Management
Assist with ensuring adherence to the annual budget.
D emonstrate effectiveness and efficiency in carrying out responsibilities.
Person-Centered Services
Uphold the individual’s right to privacy and confidentiality by using appropriate written and verbal communication.
Provide excellent customer service by serving as the designated contact when an FI Coordinator is unavailable.
Maintain organization of all referrals and supporting documentation to assist FI Coordinators efficiently.
Collaborate with Care Coordinators and Brokers to ensure all FI changes are implemented promptly and accurately, delivering the highest quality of service.
Program/Service Management
Monthly Duties
Distribute SD performance evaluations to families and/or people supported.
Distribute training requirements to all FI Coordinators to ensure SD workers remain compliant.
Run County Active Case report.
DDP/FSS email requests to providers for the Unit Utilization reports.
Complete summary portal check.
Log the information in SharePoint as directed.
Distribute the FI Connect information sheets to those we support and families/guardians.
Review all files for completeness and accuracy.
Bi-weekly Duties
Review the employee not paid report and status list for accuracy.
Review applicant selection forms as needed.
Weekly Duties
Ensure the spreadsheet (self-hires looking for hours and people needing services) is accurate and disseminate the information as requested.
Run Compliance Reports in the System for Circle of Support.
As Needed Duties
Onboard new SD associates and Independent Brokers.
Work with Human Resources to ensure the new hire process is followed and follow up with new hires to ensure access to required programs.
Backup for FI Coordinators in their absence.
Assist with emailing, printing, and mailing expense reports.
Schedule committee and departmental meetings; coordinate administrative and logistical details.
Complete IT tickets and order department office supplies.
Ensure paperwork and responsibilities are completed in a professional, timely, and efficient manner.
Provide requested information in a timely manner.
Update and purge files as necessary in coordination with the Administrative Support Coordinator.
Physical Plant and Safety
Maintain the safety and functionality of the physical area by promptly reporting any observed hazards or maintenance issues to the Safety Committee for review and resolution.
Contacts with Others
Foster and maintain positive relationships with the Circle of Support. This includes families, the person supported, self-directed staff, brokers, and Care Coordinators, as well as service providers and local businesses.
Ensure that all written and verbal communications, both internal and external, reflect the agency's mission, vision, and values while respecting individuals' rights to privacy and confidentiality.
Ensure timely and professional responses to internal and external communication by addressing requests and concerns within 24 business hours.
Additional Functions:
Complete assigned duties as needed.
Assist FI administration with agency projects as requested.
KNOWLEDGE, SKILLS, AND ABILITIES:

Functions successfully with general supervision, utilizing strong organizational skills to independently plan and prioritize multiple assignments, exercising judgment and initiative to perform diverse duties with attention to detail and deadlines in a fast-paced, high-volume environment.
Has regular contact inside and outside the department and/or agency requiring tact and courtesy.
Ability to establish effective relationships and work in a team environment to meet team and organizational goals.
Regularly works with important confidential data such as protected/sensitive medical information, wage information, financial records etc. Exercises discretion in handling confidential information at the risk of having an adverse effect if not handled properly.
Must demonstrate advanced proficiency in Microsoft Office.
EDUCATION AND EXPERIENCE:
H igh School diploma and 2 years administrative experience.
Experience in Self Direction and OPWDD services is a plus.
Proficiency in basic Microsoft Word and Excel to perform daily administrative tasks and manage documentation efficiently.
This position requires the employee to be physically present onsite to perform job duties effectively.
AUTHORITY AND ACCOUNTABILITY:
People: This position has no supervisory responsibilities.
Operations: This position is responsible for supporting the department to which they are assigned.
Budget: This position has limited budget responsibilities.
