National Gallery of Art Supervisory Museum Specialist (Head of Dept Loans) in Washington, District Of Columbia

Summary This position serves the National Gallery of Art in a leadership role for organizing and coordinating the of the Gallery’s major art lending programs which includes the National Lending Service and the loan of paintings, sculpture, decorative arts, prints, drawings, photographs, and Time-based media, and for maintaining high standards of practice. Responsibilities As the Supervisory Museum Specialist you will: Operates and administers the National Lending Service program that includes extended loans, temporary loans, and National Gallery loan exhibitions including managing the loan request process, the loan website and distribution of information about loan decisions. Manages intern coordination for loan office. Develops outgoing loan systems within the National Gallery’s Collection Management System to maintain loan records and date pertinent to the collection loan program and the National Lending Service. Initiates reports on all yearly loans and department activities for inclusion in the National Gallery’s Annual Report and provides loan statistical analysis of the loan program as appropriate. Oversees record information about borrowing institutions, including facility reports and institutional borrowing histories and tracks and reports on facility and management risks for loans. Prepares and directs the maintenance of loan histories on all objects in the collection. Assigns work based on availability and capability of staff. Sets performance standards and evaluates staff performance. Reviews work in progress, completed work, and provides advice as necessary to maintain collection management standards and objectives. Performs the full range of supervisory responsibilities that includes the planning of work to be accomplished; sets and adjusts priorities and prepares schedules for completion of work; assigns work based on priorities, selective consideration of the difficulty, requirements of assignments and capabilities of employees. Provides oversight of the coordination of loan program activities within the department, communicating regularly with the Chief Registrar to maintain desired goals. Establishes and monitors work schedules to ensure efficient and economical use of staff time and resolves conflicts arising from deadlines, budget needs, and communication lapses. Advises curators, Chief of Conservation and Executive Officers on the loan process. Provides briefing materials, guidance to the curators to assess the suitability of loans while taking into consideration Gallery requirements for objects requested; verifies the described need and suitability of requested objects with relation to the content and importance of temporary exhibitions. Acts as a liaison with the Chief Curator and other Division and Department heads related to the loan program, and with the Exhibition Office, and the Head of Exhibitions to gain familiarity with the schedule of the permanent collection for inclusion in temporary exhibitions. Qualifications Candidates must meet the Qualification Standards Handbook requirements for the GS-1016-14. For this position, specialized experience is at least one year of curatorial experience, equivalent in responsibility to the GS-13 level in the Federal service, administering museum object or collection loans for a museum or cultural institution. Loan Administration – Skill in researching and managing loan requests. Reporting – Skill in writing, developing, and analyzing reports. Supervision – Knowledge of supervisory duties and responsibilities to effectively oversee others. Communication – Ability to communicate with a wide variety of audiences about the loan process. Volunteer work helps build critical competencies, knowledge, and skills; and can provide valuable training and experience that translates directly to paid employment. Education Experience General Experience (for positions at GS-4 and below): Experience using the tools, techniques, procedures, or methods related to the operation of a museum or similar collection, or to the handling, storage, care, protection, or recordkeeping of such a collection. Experience may have been gained in a museum, college or university, antique shop, commercial art gallery, or other setting involving work with collections of valuable objects or specimens requiring specialized care and handling. Other types of experience may also be qualifying if appropriate to the position to be filled. Specialized Experience (for positions at GS-5 and above): Experience related to the operation or management of a museum or similar collection of valuable objects. Examples of qualifying specialized experience include collections management, registration, cataloging, research, preservation, restoration, or conservation of collections of museum material, or other experience related to the position to be filled. Most positions require a particular subject-matter specialization, e.g., aeronautics, anthropology, art, geology, history, natural science, technology, biology, or zoology. OR Education Undergraduate and Graduate Education: For GS-3 positions, education may have been in any field of study. For positions at GS-4 and above, related course work is required. Related fields of study include art, history, museum studies, scientific subjects, or other courses related to the position to be filled.
