Koniag Emerging Technologies LLC is seeking a highly skilled and experienced Office Management Specialist to provide comprehensive administrative support and coordination to executive-level management, specifically the Deputy Executive Director or higher positions. This role requires excellent written and verbal communication skills, strong organizational abilities, and the ability to manage multiple concurrent activities with changing priorities and tight deadlines.
Essential Functions, Responsibilities & Duties may include, but are not limited to:
The Senior Office Administrator will be responsible for the following tasks:
• Provide general administrative support to the Deputy Executive Director level or higher executives, ensuring efficient and effective operations.
• Prepare, review, and edit correspondence, reports, and other documents, ensuring correct grammar, punctuation, and adherence to established procedures and regulations.
• Schedule meetings, appointments, and conferences (sometimes large-scale in nature), reminding attendees of scheduled events to ensure prompt and timely attendance, and rescheduling appointments or coordinating alternative representatives when necessary.
• Receive and manage visitors, phone calls, and mail requests, determining the nature and urgency of inquiries, and responding or referring them to the appropriate personnel, following up as needed.
• Review incoming publications, regulations, and directives that may be important to staff activities, referring relevant information to appropriate individuals, and ensuring requests for information are assembled within specified time periods.
• Track and complete time and attendance requirements accurately and promptly.
• Make travel arrangements, prepare travel orders and vouchers in accordance with the preferences of the traveler and Federal regulations, notify organizations to be visited, and maintain communication with staff while on travel.
• Conduct research, compile data, and perform preliminary analysis for supervisors or other staff officers as appropriate, ensuring accurate and timely delivery of information.
• Maintain accurate files and records, utilizing spreadsheets, charts, graphs, and other organizational tools as necessary.
• Assist in requisitioning office supplies, printing support, and related materials, ensuring adequate resources are available for efficient operations.

Requirements:
Education:
• A Bachelor's degree from an accredited institution or four (04) years of experience at the GS-11 equivalent or higher.
Work Experience, Knowledge, Skills & Abilities:
• For a position in the U.S., must be a U.S. Citizen or legal U.S. resident; for a position outside the U.S., any citizenship (U.S., Third Country National (TCN), and Local National (LN)) is allowable.
• Knowledge of and demonstrated experience using Microsoft Office Suite.
• Demonstrated ability to communicate effectively orally and in writing.
• Demonstrated ability to provide excellent customer service.
• Skill and ability in managing multiple concurrent activities of varying complexity, including changing priorities and short turn-around times.

This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand, walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The workload may require the incumbent to sit for extended periods of time. The incumbent must be able to read, do simple math calculations and withstand moderate amounts of stress.
The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
