Position Description:

CGI Federal is seeking a Management Analyst III to support the CRS division of DOJ in DC.

Your future duties and responsibilities:

Recommend and draft records management guidelines for agency-wide application in the areas of proper records management, protection, retrieval and destruction of federal records maintained in media, and participate in the monitoring of their implementation. Identify and address significant records management issues. Participate in the facilitation, development and maintenance of filing systems consistent with administrative, legal, and financial requirements. Advise on the implementation of new records management policies and classification systems; resolve problems with information management by effective and knowledgeable use of software and other information management resources/systems. Provide guidance and supports to internal staff for the proper utilization of an electronic records management system and the maintenance of agency records. Provide advice and guidance to management on the proper method for storing and indexing records. Devise and implement retention and disposal schedules. Develop, maintain, review, and document records systems. Make recommendations for determinations of records scheduling content for submission to the National Archives and Records Administration (NARA) in compliance with established federal records laws. Research and analyze new laws which may impact the records program. Prepare summaries of new developments in the law that may affect operations or programs. Keep up to date on all aspects of records management (RM) laws and regulations. Prepare information to support reports and inquiries relating to operations under the Federal Records Act. In addition, familiar with performing duties related to digitizing paper records into electronic format.

OTHER ADMINISTRATIVE DUTIES:

Maintains a close and highly responsive relationship with the supervisor and staff, and provides administrative support for their day-to-day activities. Works fairly independently, receiving a minimum of detailed supervision and guidance. Performs varied clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office.

  • Carries out recurring office procedures independently. Selects and carries the appropriate action in response to the administrative needs of the office and supervisor. Supervisor provides specific instructions on new assignments and checks completed work for accuracy. Performs varied duties including or comparable to the following:

• Responds to routine telephone requests which have standard answers; refers calls and visitors to appropriate staff. Controls mail and assures timely staff response; may send form letters;

• As instructed, maintains supervisor's calendar, makes appointments, and arranges for meeting rooms;

• Reviews materials prepared for supervisor's approval for typographical accuracy and proper format;

• Maintains recurring internal reports, such as time and leave records, office equipment listings, correspondence controls, and training plans;

• Requisitions supplies (research and Sam activation finder), printing, maintenance, or other services. Types, takes and transcribes dictation, and establishes and maintains office files.

  • Handles differing situations, problems, and deviations in the work of the office according to the supervisor's general instructions, priorities, duties, policies, and program goals. Supervisor may assist secretary with special assignments. Duties include or are comparable to the following:

• Screens telephone calls, visitors, and incoming correspondence; personally responds to requests for information concerning office procedures; determines which requests should be handled by the supervisor, appropriate staff member or other offices;

• Open Mail daily 4 times day for in-house distribution

• Schedules tentative appointments without prior clearance. Makes arrangements for conferences and meetings and assembles established background materials, as directed;

• Review , forward and keep logs of staff training request

• Reviews outgoing materials and correspondence for internal consistency and conformance with supervisor's procedures; assures that proper clearances have been obtained, when needed;

• Prepare travel authorization and vouchers for staff who travels 50-60% of the time using an automated travel system;

• Research supply needs, generate spreadsheets and forms with supply details for ordering purposes;

• Prepare documentation and report request related to Non-IT related property and GSA Fleet program;

• Support regional offices in the area of records to NARA;

• Conferences, reports, inquiries, etc. Shifts clerical staff to accommodate workload needs.

• Other administrative duties as assigned within this scope.

Required qualifications to be successful in this role:

  1. STRONG proofreading and organizational skills.

  2. Knowledge and understanding of administrative support functions.

  3. Required to be proficient in office products, such as internet/intranet, Word, Excel and PowerPoint for secretarial/word processor/spreadsheet/data base/power point requirements. Must be able to save, retrieve, edit, and present text, spreadsheets and/or charts. Prepares in final format, correspondence, statistical and managerial reports.

  4. Must be proficient in grammar, spelling and punctuation and is also required to produce printed materials accurately.

General Experience – 4+ years in relative work experience

Must be able to successfully pass a CGI Federal background investigation

Must be able to obtain/maintain a DOJ MRPT clearance

Occasional travel may be required to assist and support the operation of CRS assignments or National Staff events.

Hourly Rate: $35.64/hour

CGI is required by law in some jurisdictions to include a reasonable estimate of the compensation range for this role. The determination of this range includes various factors including but not limited to: skill set level, relevant experience and training, and licensure and certifications. Compensation decisions are dependent on the facts and circumstances of each case.

Due to the nature of this government contract, US Citizenship is required.
