Primary Focus
The Office of Language Services (LS) Administrative Support Specialist is tasked to directly support the daily administrative operations of A/OPR/LS in accordance with administrative best practices for assisting in LS' mission interpretation and translation project management, Federal and Department of State Acquisition Regulations, Federal Travel Regulations, and Department policies. All duties and responsibilities performed in accordance with the Mission, Vision, and Core Values of Cayuse.
Responsibilities
Maintain and update Outlook calendar for LS senior managers
Schedule meetings and calls for LS senior managers
Prepare written messages on behalf of LS senior managers
Request travel authorizations and upload supporting documentation to travel authorizations and vouchers for LS senior managers and direct hire employees
Request verification of employee and freelance LSP contractor security clearance by Bureau of Diplomatic Security for client organizations
Enter travel actual cost information into automated program management system
Enter new and transferred accountable and loanable property into automated asset management system
Ensure that section printers, copiers, and shredders are maintained in good working condition and supplied with toner and paper
Request purchases in Department purchasing system, ILMS Ariba
Confirm performance or status of interpreting, translating, or administrative assignments
Meet and escort visitors including interpreters, translators, trainees, and examinees
Other duties as assigned
Qualifications
Minimum Qualifications:
Experience or training in federal travel management/E2, inventory management, or support services
Experience in use of Microsoft Office applications (Outlook, Word, Excel, PowerPoint, SharePoint)
Knowledge or training in use of web-based business process management system such as Salesforce or ServiceNow desirable
Active Secret US Security Clearance required
Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.
Minimum Skills:
Strong interpersonal skills with the ability to communicate in a professional, and articulate manner to individuals from diverse backgrounds.
Excellent verbal and written communication.
Excellent organizational, analytical, and problem-solving skills with high-level attention to detail.
Proven ability to multitask and prioritize in a fast past environment with changing priorities; adaptable to change and a quick learner.
Must be self-motivated and able to work well independently as well as on a multi-functional team.
Ability to handle sensitive and confidential information appropriately
Must be computer literate with proficiency and working knowledge of common database and reporting tools.

Professional office environment
Must be physically and mentally able to perform duties for extended periods of time. Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position
Must be able to establish a productive and professional workspace
Must be able to work varying work schedules and/or extended hours to meet business needs and project deadlines
May be asked to travel for business or professional development purposes

Pay Range
USD $42.00 - USD $50.00 /Hr.
