Armed Forces Retirement Home Administrative Specialist in Washington, District Of Columbia

Summary This position is located at the Armed Forces Retirement Home Washington (AFRH-W) in Resident Services (RS). All of the RS programs are vital for providing services (admissions, food and dining, custodial, recreation, recreation therapy, religious, and volunteer services) for the residents of the AFRH-W. The primary purpose of the position is to assist the Chief, Resident Services and to provide analytical and administrative support for various RS programs. Responsibilities As an Administrative Specialist, you will: Perform quality assurance and customer satisfaction surveys related to Resident Sponsor performance, room readiness/assignments, Admissions Office staff performance, telephone communications, and timeliness of campus information disbursement to the applicants. Obtain and organize information/data for use by the Chief and assists in preparation of reports and briefings. Prepare materials involving personnel relations, resident matters, RS Directorate, and AFRH issues. Establish and maintain all office files, i.e., general, Congressional, committee, confidential/special files. Prepare and type letters, memoranda, and committee meeting minutes and reports of a specialized and technical nature for the signature of the Chief, Resident Services. Maintain, update and verify all Resident records to include active, discharges and deceased Residents' records. Schedule daily appointments with Residents to update and verify any changes in record status. Retrieve Residents' records and updates changes made. Interpret substantive data in the record in order to determine the specific changes required. Perform an inventory of Resident's records and prepare Resident Records for archiving purposes. Perform maintenance on Resident records in Electronic Resident Information System (eRis). Manage the day-to-day operation of the Resident Services/Admissions Office. Maintain individual calendars for the Chief of Resident Services and the Admissions Officer. Schedule appointments and make arrangements for meetings. Prepare meeting agenda, distribute, and remind attendee of meeting date and time. Attend meeting and records minutes, and prepare minutes for distribution. Prepare a variety of documents using word processing, spreadsheet and databases. Edit and reformat electronic drafts and transmits/receives documents and messages electronically. Maintain time cards/input payroll data into computer system. Reconcile payroll with leave and attendance records. Ensure accuracy of payroll data. Perform postal duties as assigned. The incumbent is a credit card holder for appropriated funds (AF) purchases for RS. Order supplies and equipment in a timely manner. Reconcile, obtain documentation, file and submit monthly data to supervisor for review. Complete training as needed. One year of experience refers to full-time work; part-time work is considered on a prorated basis. Must be U.S. Citizen or U.S. National Qualifications You must meet the following requirements by the closing date of this announcement. Specialized Experience for the GS-09: You must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-07 grade level in the Federal service. Specialized experience for this position includes: Serving in an administrative support role using a personal computer to administer office functions and create office documents; AND Researching, gathering, and compiling data to prepare reports. OR You may substitute education for specialized experience as follows: a master's or equivalent graduate degree; OR 2 full academic years of progressively higher level graduate education leading to such a degree; OR a LL.B. or J.D., if related; OR You may qualify on a combination of education and experience: To combine education and experience, the total percentage of experience at the required grade level compared to the requirement, as well as the percentage of completed education compared to the requirement must equal at least 100 percent. Only graduate level education in excess of the first 18 semester hours (27 quarter hours) may be combined to be considered for qualifying education.
