Requirements

The Administrative Assistant position in the Office of the Vice President for Student Affairs serves as the first point of contact for the office, greeting all walk-in traffic, answering phone calls, managing administrative processes, and providing customer service for a variety of functional areas. This position serves as a primary (and often first) representative for the Office, and is a crucial link to the Student Affairs staff, University administrators and their staff, and other individuals and entities, both internal and external to the University. The ability to efficiently and broadly support the Office of the Vice President and to relate appropriately with multiple constituencies is critical to the position. Primary responsibilities include, but are not limited to:

  • Serve as primary front-desk representative of the Division of Student Affairs Office of the Vice President.

  • Receive visitors and calls of all types, including current students, parents, GU faculty and staff, and external constituents.

  • Provide program, procedural, and directional information. Refer inquiries to offices/departments as appropriate.

  • Manage the receipt and distribution of mail and packages for Leavey 5 floor occupants, as well as oversee facilities management for the floor, including work requests for the floor as needed.

  • Supply and inventory management and ordering, maintaining front desk manual and other associated materials and ensuring information is current and relevant.

  • Maintain cleanliness and professional appearance of front desk area, managing floor meeting spaces.

  • Maintain kitchen area and equipment, along with office opening and closing procedures, staying knowledgeable of the whereabouts of the floor occupants.

  • Maintain all Xerox and other printers on Leavey and coordinate with UIS as needed.

  • Oversee the Student Affairs email inbox and the email inbox for the Dean of Students, as assigned by the Executive Assistant, responding to and distributing inquiries as appropriate.

  • Manage event planning support including space reservations, catering orders, and AV arrangements.

  • Create and submit expense reports as assigned, handling travel arrangements as assigned.

  • Oversee basic graphic design utilizing Canva-type platforms.

Work Interactions

This position provides a full range of administrative support to the Office of the Vice President for Student Affairs and entails daily interaction with University administrators, program directors, faculty, students and division-wide staff. Given the nature of the position, the incumbent will also interact with alumni, parents, and invited guests. This position is highly administrative and requires a person with a high degree of professionalism, strong attention to detail, the ability to prioritize multiple tasks and multi-task, the ability to be flexible and proactive, and the ability to handle sensitive and/or confidential materials, situations and interactions. This position reports to the Executive Assistant.

Requirements and Qualifications

  • High School Diploma; Bachelor’s degree preferred

  • 1-3 years of experience in a professional office environment

  • Excellent organizational skills, combined with strong communication and writing skills

  • Ability to prioritize work with strong attention to detail and a demonstrated flexibility in a dynamic work environment

  • Familiarity with Google and Microsoft Office suites

  • Excellent interpersonal skills with the ability to handle sensitive and/or confidential information, situations, and interactions

  • Ability to perform light to moderate physical activity

  • Familiarity with GMS/Workday and WordPress preferred

Pay Range

The projected hourly pay range for this position which represents the full range of anticipated compensation is: $22.05- $26.95. Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
