Trinity Solar Business Technology Executive Assistant in Wall Township, New Jersey

The Business Technology Office Administrator will be responsible for managing the calendar, files, correspondence, proposals, calls to customers, partners, and vendors, tracking the budget, contracts, invoices, and payments in support of the business technology divisions strategic plan. Roles & Responsibilities Ensures efficient operation of the Business Technology Office. Supports budget and procurement activities for the executive leadership. Serves as the office administrator for the CIO, managing all correspondence and billing issues. Expense management for the executive leadership including inputting, reviewing, and submitting all reports for accuracy and payment. Review, code & route invoices to appropriate leaders for approval and payment. Responsible for the life cycle management and document management of all software licenses, hardware support, and timelines for renewal agreements. Provide seamless scheduling support for the executive management. Attend leadership meetings, record notes & follow up on assigned action items. Assist with the agendas and execution of Leadership Town Hall Meetings. Help with onboarding new hires; submit requests for systems access & equipment deployment. Provide special project support to the leadership as requested. Handle highly confidential and/or sensitive information with discretion and tact. Qualifications & Experience A Bachelors degree is preferred and 5 to 7 years in administrative or executive support experience are required. Experience providing administrative office support service to CIO or senior executive is preferred. The incumbent must be flexible; possess excellent interpersonal skills and project coordination experience; and can work well with all levels of internal and external customers. This position requires the ability to handle confidential and sensitive matters with diplomacy. Must be able to handle multiple tasks simultaneously and detail oriented. Must possess excellent written and oral communication skills and demonstrate a high degree of professionalism and diplomacy. Must display excellent administrative, organizational, and time management skills while operating in a fast-paced environment. Must possess a strong work ethic. Must be self-motivated, team-oriented and have positive attitude. Must be able to perform advanced skills using the Microsoft Office Suite.
