Job Description:

Our client is seeking a highly organized and detail-oriented Project Administrator to join their team on an exciting and dynamic construction project. You will play a pivotal role in overseeing and directing project administration activities from construction kick-off to project completion. As the Project Administrator, you will ensure seamless communication and coordination between our client, the General Contractor, and the Engineer of Record. Your primary responsibility will be to maintain efficient document control, track project activities, and provide critical support to ensure the timely and successful execution of the project.

Essential Duties and Responsibilities (but not limited to):

  • Oversee the receipt, review, and processing of RFIs and project submittals.

  • Ensure timely responses by tracking and managing the status of RFIs and submittals with the General Contractor.

  • Upload all final RFIs and approved submittals to the project’s SharePoint site.

  • Maintain the project’s document control system in Microsoft Teams and SharePoint, ensuring all documentation is up-to-date, accurately filed, and accessible to the project team.

  • Assist with the placement of project documents and ensure proper navigation and access to resources.

  • Support the collection, logging, and storage of project-related permits, and maintain environmental compliance records.

  • Provide administrative support for the project, including data entry, reporting, invoice and expense management, and customer and visitor coordination.

  • Ensure efficient coordination of project resources and assist with any administrative tasks necessary for project execution.

Qualifications:

  • Associate’s degree in Business Administration, Construction Management, or a related field is preferred, or equivalent experience.

  • 2-3 years of experience in project administration, preferably in the construction or engineering industry.

  • Proficiency with Microsoft Office Suite (Word, Excel, and Outlook), Microsoft Teams, and SharePoint.

  • Strong written and verbal communication skills.

  • Ability to liaise with a variety of stakeholders including contractors, engineers, and internal teams.

  • Excellent organizational skills with the ability to manage multiple tasks, deadlines, and competing priorities.

  • Meticulous attention to detail with a commitment to maintaining accurate and well-organized project documentation.

  • Ability to proactively identify and resolve issues to keep the project moving forward smoothly.

  • Experience with document control software is a plus.
