Description of Work
The primary purpose of this position is to provide comprehensive office management and administrative support to the entire unit which comprises over 125 positions. This position reports directly to and aids the Materials and Tests Unit’s Administrative Officer II. Some of the general rolls and responsibility assigned to this position is:
Contract and Invoice Management:Review and process the payment of multiple consultant contracts and invoices each month. Assist with generating Unit wide purchase orders.
Travel Management:Assist with travel reimbursement and arrangements, prepare 10-8 travel requests for approval of travel and training/conference expenses, run travel reports monthly, and monitor associated expenses. Stay current on travel and department policies.
Time Entry and Guidance:Oversee Unit wide weekly time entries for correctness and provide guidance on proper time entry codes in SAP.
State Vehicle Management:Oversee state vehicle assignments and utilization. Unit liaison with Department of Administration/Motor Fleet Management.
Facilities Coordination:Collaborate with Facilities staff to report and ensure the completion of work orders for building issues such as heating, plumbing, and water leaks.

· Demonstrated ability to apply knowledge of data collection, storage, organization, manipulation and/or analysis of data.
Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
