General Description: A Senior Project Manager (SPM) has acquired the requisite experience and technical knowledge to be recognized within the firm as having subject matter expertise in a specialty area within their practice area and has demonstrated exemplary project performance and effectiveness in planning and managing projects, maintaining budgets and schedules. A SPM has built and maintained positive client relationships, demonstrated effectiveness in developing new clients through proactive marketing, cross-selling, and repeat business with existing clients. As a prerequisite, meets and exceeds all criteria of a Project Manager. The Senior Project Mangers role is multifaceted, including the following duties and responsibilities: Job Responsibilities: Supervise and direct individuals or teams of technical staff or Project Managers on multiple complex projects and/or less complex projects. Consistently demonstrate leadership skills in project execution, client interactions, and business development. Lead construction administration tasks such as construction progress meetings; submittal reviews; preparation of meeting agendas and minutes; review of daily and weekly construction reports; preparation of payment applications, RFIs, and change orders; coordination with Resident Project Representatives; completing project closeout; and tracking construction schedules. Assist in the training, mentorship, and technical development of Project Managers and staff by various means including holding training seminars, providing technical guidance during project execution, and bringing new technical developments in-house. Consult with other technical staff and Project Managers on technical issues in their area of expertise and provide technical or QA/QC reviews on projects that they may otherwise may not be involved in. Recognize the potential risks of nonstandard technical matters or potential legal disputes by participating in required insurance training to minimize the firms liability. Work with minimal direction or supervision through demonstrated success with similar project responsibilities. Oversee technical accuracy of project through regular communications with project staff, review of plans, specification, reports, and calculations to ensure compliance with the firms standards. Make technical presentations to the client and at public meetings to review and discuss project details. Lead projects through project development through completion identifying schedules, scopes, budget estimates and implementation plans including QA/QC and risk management. Understand contract risks, terms and conditions, and professional liability matters, and mitigate risk as required, in consultation with Senior Leadership/Principals. Subject matter expert in specific practice area(s). Project Management: Initiate Projects: Prepare proposals/scopes of work and project budgets for approval by Principal. For assigned projects, complete project initiation documents that include detailed scope/outline, budget, and schedule for completion. Manage Project Implementation: With assigned project team, ensure that all steps and procedures are taken according to company operating procedures and that all work is completed as planned and scheduled. This includes keeping the client informed of the on-going status of a project and providing adequate management, advice, and support to the members of the project team. Coordinate/Communicate with Peers and Subconsultants: Work with other project managers to avoid or eliminate conflicts in schedule due to the changes in various projects. Supervise Interdisciplinary Team: Coordinate subcontractors, subconsultants, and staff on the execution and scheduling of the project scope of work. Provide Technical Advice: Contribute to the development of recommendations for assigned projects and others, when requested. Prepare High Quality Reports: Demonstrates excellent writing skills through the consistent production of high-quality technical memoranda and reports. Ensures that the review process and other quality control guidelines are followed, and that final reports and presentations are completed per company standard operating procedures using standard company formats. Client Management: Meet regularly with clients to discuss current projects, evaluate firm performance, and identify other business or cross-selling opportunities either with current clients or through referrals. Budget Tracking and Invoicing: Track all projects costs, including labor and expenses, versus the project, and ensure that invoices are issued to the client in a timely manner in accordance with company policy. Follow up on all accounts receivables in accordance with accounting policies. Senior Project Managers are responsible for their budgets and those Project Managers that directly report to them. Communicate Opportunities: Present potential new business, cross-selling opportunities or resource information, competitive situation, or technology/regulatory factors to the company. Control Costs: As part of the management of each project ensure that costs (internal and external) are kept in line with the original budget for time, travel, and material expenses. Discuss variations with supervisor, accounting, or Principal-in-Charge and issue project notices to reflect agreed upon changes. Maximize Project Profitability: Through appropriate project budgeting/pricing, work efficiency, utilization of resources and cost controls, maximize the profit margin on individual projects. Review monthly the budgeted direct labor multiplier (DLM) versus project performance and actual DLM and notify accounting and your manager with variations that would not allow achievement of budgeted DLM. Coordinates with accounting staff on routine project management responsibilities including invoicing, accounts receivable, project set-up, and project closeout. Marketing/Business Development: Be a Public Relations Ambassador: Be proactive in presenting and communicating the capabilities and strengths of the company. Maintain Marketing Materials: At the conclusion of each project, or major task within a project, develop a project description for that project/task in accordance with approved company formats to be used as marketing materials. Relationship Building: Solicit New Clients/Projects. In interfacing with potential or existing clients, listen for and seek out new projects that may exist or being formulated within your discipline or the potential for cross-selling additional practice areas. Set up meetings and/or participate in the development of proposals requested. Prepares proposals, participate in project interviews, attend, and participate in public meetings, prepare fee proposals, and prepare contracts and present information to new and future potential clients. Participates in approved external associations and professional conferences and presents or authors technical papers. Prepares contracts, subcontracts, and negotiates fees associated with new projects. Administrative: Manage, mentor, and develop project staff: Recognize the strengths and areas needing improvement for assigned project staff. Manage, support, and evaluate direct reports towards achieving their maximum potential. Performs annual reviews of staff. Coordinate workload with staff and other Project Managers including forecasts and coordination of staff and resources. Mentor and coach staff at all levels of experience. Manage direct reports, including responsibility for on-boarding, off-boarding, workload management, time and expense approval and career path development. Management of Project Managers requires responsibility for their budgetary performance and goal setting coordination with Senior Leadership. Assist in recruitment of new staff, interviews, on-boarding and acting as a hiring manager for new hires. Requirements: Education and Experience: B.S. or M.S. Degree in Civil or Environmental Engineering with 12 to 15 or more years of experience, including meeting or exceeding the Project Manager job description, with a minimum of 3 or more years of experience in the Project Manager position prior to consideration for Senior Project Manager. All promotions for this position are approved by Senior Leadership and considered based on experience, recommendation by the manager and past performance. Strong understanding of state and federal regulatory framework and experience interacting with regulators in the local and technical areas where EP does work. Subject matter expert in practice area. Registrations: Registered Professional Engineer or other Professional Registrations as appropriate for their primary field of expertise in State(s) where EP does work or ability to obtain same by reciprocity. Employee or candidate can be evaluated if no licensure is obtained or maintained by recommendation by their manager and review and approval by Senior Leadership. Interpersonal Skills: Demonstrated ability to work effectively with clients, staff, subconsultants, and contractors through effective leadership. Must have excellent written and verbal communication skills. Must manage and mentor project managers and junior staff. Drivers license is required.
