Job Description

Program Coordinator II is needed to deliver, support, and execute programs (seminars, recruitment events, training, and workshops) to meet the educational needs of student participants. The program coordinator will also serve as a liaison with oil and gas companies and secure internship opportunities for students in the program.

This position is funded by a grant or restricted funds. Continued employment is contingent on the renewal of grant or restricted funding.

This position may pay more than the salary listed above depending on the qualifications and experience of the selected candidate.

Responsibilities:

  • Work under the guidance of the Director for the Energy Trade Program (ETP) to deliver, support and execute programs (seminars, recruitment events, training and workshops) to meet the educational needs of student participants.

  • Serves as a central point of contact between students, faculty, staff, other departments, and external constituencies on day-to-day programmatic, operational, and administrative matters; assists with seminars, meetings, special projects, and/or general problem resolution. Ensure policies and guidelines are followed.

  • Maintains mandatory ETP student and program statistics and records; prepares regular and ad-hoc reports, summaries, or replies to inquiries, selecting relevant data from various sources.

  • Supports travel arrangements for the ETP Director, faculty, and students engaged in the ETP and related activities.

  • Provides specialized administrative support in the development, implementation, and ongoing marketing of ETP.

  • Coordinates meetings, conferences, tours and special activities.

  • Monitors and administers program/project revenues and expenses; assists in managing financial data for the ETP, such as tracking expenses and program income.

  • Work with the leadership team and the dean’s office to support student enrollment in the bachelor and master of accounting degree programs; create and track program initiatives that support professional licenses and certifications.

  • Develops programming and coordinates specialized recruitment activities for K-12 initiatives, summer programs, undergraduate and graduate students through professional CPA initiatives and the ongoing marketing of accounting programs.

  • Provides specialized administrative support and travel arrangements for dean’s office staff, faculty, and students engaged in the BBA, MSA and BBA/MSA 4+1 programs and related activities.

  • Attends recruitment events to promote and market college programs.

  • Supports students with activities to increase opportunities for professional licenses.

  • Work with the leadership team and the dean’s office to support multi-disciplinary student enrollment in Business Analytics and Supply Chain Management.

  • Serves as a central point of contact between students, faculty, staff, and other departments on day-to-day programmatic, operational, and administrative matters; assists with recruitment events, seminars, meetings, special projects, and/or general problem resolution. Ensure university and college policies and guidelines are followed.

  • Coordinates meetings, conferences, or special activities.

  • Provides specialized administrative support and travel arrangements for dean’s office staff, faculty, and students engaged in special programs, licenses or student conferences, and competitions.

  • Work with the leadership team and the COB dean’s office on marketing efforts – including but not limited to advertisements in print, online and social media outlets for all special programs.

  • Performs or delegates clerical and administrative support tasks, including creation, typing, and editing of program correspondence, scheduling and planning events, reports, program guides, and other publications.

  • May recruit, train, and supervise student employees, volunteers, and administrative support staff.

  • Other administrative duties such as answering calls, file management, & office organization.

Required Education and Experience:

  • Bachelor's Degree.

  • Four years of related experience.

    Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to multitask and work cooperatively with others. Verbal and written communication skills.

Preferred Qualifications:

  • Master’s degree.

  • Five years of related work experience in academia, or equivalent.

  • Past experience with student development, project management, enrollment management, placement counseling, and event planning.
