What we want

The Texas A&M University Interdisciplinary Program in Toxicology trains PhD- and MS-level graduate students and postdoctoral fellows. The program coordinator works with toxicology faculty and trainees (MS, PhD and postdoctoral) across campus, advises toxicology graduate students, and coordinates activities in support of the program.

The program coordinator is responsible for day-to-day operations of a program that includes about 35 graduate students, 5 postdoctoral fellows and 40 faculty members. The program coordinator is responsible for planning daily, weekly, monthly, and annual activities together with Program Chair, vice-Chair and Executive Committee, and then executing on these plans independently and ensuring timely completion and accountability for the outcomes. The program coordinator is responsible for a wide array of tasks related to (i) graduate advising (assisting trainees with course registration and other tasks, tracking annual trainee evaluation for academic program assessment, ensuring timely completion of trainee goals and milestones, etc.), (ii) fiscal management (working closely with Vet Med business office on tracking expenses, managing budgets, preparing monthly budget reports, overseeing trainee stipend, tuition, fee and other payments, managing payment card transactions, etc.), (iii) grants management (providing support for training grant (T32) management, including preparation of annual reports, onboarding and off boarding trainees from this funding source, tracking publications, maintaining CareerTrack database, etc.), (iv) recruitment of graduate students and postdoctoral fellows into the program by managing the admissions process and planning an annual open house for visiting recruits, (v) travel coordination and management of the seminar and other visitors to the program.

The program coordinator will regularly engage with program faculty and trainees, as well as counterparts in other graduate programs at Texas A&M University and the Graduate and Professional School, to facilitate program-related activities and direct communications across the program through various channels, including maintaining the program website, regularly posting on social media account, and engaging faculty and students to encourage participation in program activities.

Required Education and Experience:

  • Bachelors degree or equivalent combination of education and experience

  • Two years of administrative experience

Required Knowledge, Skills, and Abilities:

  • Excellent oral and written communication skills

  • Ability to use word processing, spreadsheet and database programs

  • Ability to lead projects and work cooperatively with others

Preferred Experience:

  • Experience with academic advising in a university setting, grant administration and report preparation, event planning (including travel coordination and scheduling), excellent communication skills (interactions with both faculty, trainees, university administrators, funding agency staff, etc.), and maintaining active social media and online presence (e.g., website maintenance, social media sites)

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of TAMU-Graduate and Professional School procedures and timelines; experience with advising trainees and faculty on academic issues; experience with program evaluation; experience with NIH eRA Commons and xTrain, xTract and CarrerTrac websites.

Responsibilities:

  • Administrative Support - Provide administrative support for the NIEHS Toxicology Training Grant. Duties include preparation of appointment and termination forms, overseeing financial records, preparation of competitive renewals and annual progress reports and other official correspondence with NIEHS. Prepare tuition and medical insurance reimbursements and track spending of trainee s support funds.

  • Seminar Coordination - Coordinate Toxicology Seminar series fall and spring semester; help in contacting and inviting prospective speakers, prepare and distribute announcements. Assist speakers in arranging travel, prepare speaker itineraries and reimbursement vouchers.

  • Facilitation - Facilitating application process by updating applicant files, tracking application status, distributing applicant profiles to faculty, arranging final acceptance meetings, and overseeing choice of final Pl laboratories for the students. This requires frequent correspondence with departmental administrators and the admissions office as well as fiscal office to assure funding sources for all students.

  • Graduate Advising - Graduate student advisor. Prepare official correspondence and petitions for graduate students, assist in scheduling preliminary exams and defenses, maintain student records and track student progress. Advise students on course registration and timelines.

  • Recruitment - Recruiting masters, doctoral and postdoctoral trainees into interdisciplinary program.

  • Program Coordination - Coordinate faculty participation in IFT activities. Maintain records and track faculty participation. Coordinate and schedule meetings of the executive committee, T32 committees and annual Toxicology retreat.

  • Program Evaluation - Program evaluation and outcomes assessment.

  • Communication - Maintain and update (no less than quarterly) IFT website and social media accounts. Perform other duties as assigned.
