DESCRIPTIVE STATEMENT:
The Parts Clerk is a non-exempt entry level position under direct supervision of the Shops Supervisor. The Parts Clerk is responsible for pickup and delivery of supply parts, data entry, inventory and stock control, maintenance of technical manuals, and issuance of special tools for a parts room which services the City fleet of light and heavy motorized equipment.
This job description is an overview and is intended to describe the general nature and level of work being performed. It is not intended to be an exhaustive list of all the functions and tasks required of the position.
DUTIES & RESPONSIBILITIES:
ESSENTIAL FUNCTIONS:
Researches, orders, receives, cleans, catalogues, issues, and stocks equipment and parts
Must follow City of Pueblo purchasing policies and procedures
Ensures proper disposal of obsolete and out-of-date surplus inventory
Identifies and processes warranty parts, and complies with written warranty procedures
Identifies and resolves problems related to inventory variances, storeroom operations, and orders from vendors
Reconciles storeroom inventory against a computer-generated report and performs daily accounting of parts expenditure for budget purposes
Coordinates and performs cyclical physical inventories
Expedites the procurement of parts needed for equipment repair by determining parts availability through vendors and other acceptable sources and arranges delivery of expedited parts
Provides estimates for repair, as needed
Processes work orders and adds tasks to work orders, as needed
Ensures inventory meets proper turnover ratio standards
Researches, catalogs, and contacts vendors to ascertain cost and availability of parts and determines correct parts specifications
Performs clerical and housekeeping duties such as alphabetizing, filing, data entry, cleaning, organizing, and maintaining the parts/tool room
Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service
Operates vehicles for pickup and delivery or return of exchange items or unsuitable substitutes
Monetary accounting of parts received and parts dispensed and insures proper cost
Performs data entry of vendor invoices
Assembles and records all data necessary for a perpetual inventory system
Stock care will be appropriately annotated as to quantity and price and the part will be issued to the appropriate job order or stored in the proper bin for future consumption
Ensures proper accountability by issuing, receiving, and inspecting tools for a clean, workable condition
Maintains parts/tool room in a clean and organized condition
Reliable attendance and punctuality are an essential function of the position as this position may be the lone Parts Clerk on duty for the Fleet Maintenance division
IMPORTANT FUNCTIONS:
May perform the duties of similar classifications of an equal or lower pay grade
May operate a forklift or other power-driven equipment to move or lift supplies and equipment
PHYISCAL REQUIREMENTS:
The physical standards an employee must meet in order to perform the essential job duties with or without a reasonable accommodation include, but are not limited to:
Lifts, carries, pushes, or pulls equipment and supplies weighing up to 50 pounds, frequently lifting and carrying objects weighing up to 30 pounds
Frequently stands and walks for prolonged periods of time while standing behind the parts counter and to perform daily functions
Frequently climbs in and out of vehicles or up and down stairs
Uses manual dexterity to manipulate supplies, tools, and equipment
Uses visual acuity to read operating manuals and instructions, safely operate a vehicle and equipment, identify hazards, and perform daily functions
Frequently performs activities requiring a full range of body movements including sitting, bending, stooping, kneeling, squatting, crawling, twisting, and balancing
KNOWLEDGE, SKILLS & ABILITIES:
Up-to-date knowledge of automotive and heavy-duty truck parts and supplies
Knowledge of modern storekeeping methods and practices
Skill and ability to efficiently maintain a parts room including housekeeping, inventory control methods and purchasing
Ability to order, receive, and issue parts and maintain accurate computerized inventory records under general supervision
Ability to anticipate the needs of the department/auto mechanics and store stockroom and apprise the supervisor of those needs
Ability to work successfully with and provide good customer service to supervisors, other City employees, the public, and other agencies
Ability to drive automobiles and light trucks
Mechanical knowledge in light and heavy motorized equipment
Skill and ability to perform basic mathematical calculations including basic addition, subtraction, division, and percentages
Ability to solve problems using sound judgment
Ability to communicate orally in person, by telephone, and writing in an effective manner with a variety of individuals
Ability to understand and follow oral and written instructions
Ability to order required parts from outlined specifications
Skill and ability to perform data entry at moderate speeds, and use a computerized system to query for information when searching the automated inventory
Ability to verify parts and supplies against specifications
Ability to read/search a computer parts catalogue, the internet, use microfiche, and all types of media
Ability to perform all the job duties in a safe manner
MINIMUM QUALIFICATIONS:
In addition to the knowledge, skills and abilities listed above, this position requires the following:
A high school diploma or GED
A minimum of 3 years of successful, paid experience in an auto parts store, a large (200 or more) vehicle service center repair operation, or a heavy truck or equipment repair facility
A valid driver’s license at the time of application, and a valid Colorado driver’s license within 30 days of employment
License restrictions that may hinder your ability to drive on City business, such as an interlock, will be cause for disqualification
During the course of employment, a valid license must be maintained, and the employee must notify the City immediately upon changes to the status of their license
Preferred requirements for this position include:
Mechanical experience
ASE parts certificate
SPECIAL CONDITIONS OF EMPLOYMENT:
This position works primarily indoors in a vehicle maintenance facility with some time spent outdoors. The incumbent may be exposed to noise, moving parts, fumes, dust, smoke, and fluids used in a vehicle maintenance facility such as anti-freeze, motor oil, windshield washing fluid, etc. The employee may be exposed to blood borne pathogens, bodily fluids and/or biosolids while performing work on public safety and/or wastewater vehicles. Attendance and punctuality are an essential function as this position as this position may be the lone Parts Clerk on duty for the Fleet Maintenance division. The employee may be required to work overtime and is subject to shift change. This position will be required to perform moderate to heavy lifting, driving, and climbing stairs and ladders.
All required licenses and certifications must be maintained throughout the term of employment. Failure to obtain or maintain licenses and certifications may result in demotion or termination.
