ICONMA, LLC Legal Administrative Assistant I in United States
Our Client, an AV Manufacturing company, is looking for a Legal Administrative Assistant I for their Wayne, PA location. Responsibilities:
As a Legal Administrative Assistant, you will be responsible for providing legal support for the U.S. Legal team in a broad range of areas, including invoice processing, administrative duties, corporate governance, licensing and other special projects as needed.
The position requires collaboration with paralegals and attorneys to coordinate and perform tasks proficiently with guidance from a managing paralegal.
The ideal candidate will have a strong work ethic, proven detail-oriented skills and possess excellent interpersonal and communication skills.
Review and process legal invoices received on a regular basis through Counsel Link and any other formats used.
Process incoming and outgoing mail, prepare check requests, process signature requests, maintain legal documents, coordinate travel as needed, draft legal correspondence and other general administrative duties for the Legal Department.
Maintain corporate minute books, prepare consents and resolutions, draft internal approvals and support legal entity formation and other organizational changes, as needed.
Serve as back-up support for attorneys and other paralegals for state and local registrations and licenses and regulatory examinations.
Provide support for special projects on an as-needed basis, including lease/loan file due diligence and program agreement maintenance.
Requirements:
High School education or equivalent required; Associate’s or Bachelor's Degree preferred.
Experience with document management, invoice systems and DocuSign preferred, but not required.
Proficient in Microsoft Office Suite (specifically Word, SharePoint, Excel & PowerPoint).
Proven organizational skills and strong attention to detail.
Time management and prioritization ability.
Excellent verbal and written communication skills.
Must be able to maintain a high level of customer service (internal & external).
Must be able to work in a team and have a positive and proactive attitude.
High level of integrity and professionalism.
Looking for administrative assistant experience
Exposure to invoice processing, lease/loan filing, legal entity support, and corporate governance preferred
Proficiency in Microsoft Office required; DocuSign experience preferred
