Summary:
The Bureau of Adult Special Populations (BASP), in the NYS Department of Health focuses on creating Medicaid policy and programs for some of New York’s most vulnerable populations: people with mental illness, substance use disorder, intellectual or developmental disabilities, chronic conditions, physical disabilities, brain injury, and the recently incarcerated. The mission of the bureau is to support members of these populations to achieve maximum health, independence, and quality of life. The bureau collaborates closely with the Office of Mental Health (OMH), the Office of Addiction Services and Supports (OASAS), the Office for People with Developmental Disabilities (OPWDD), and the AIDS Institute. The BASP also oversees the state-wide Medicaid Health Home Program (HH) for adults which has roughly 175,000 enrollees. The Health Home program is a Care Management program that coordinates the member’s total physical, behavioral, and social care needs.
The Bureau of Adult Special Populations is seeking an Administrative Support Specialist to support the Bureau Director and the Health Home Program Director with all administrative needs in service to the bureau’s mission. Though the primary function of this role is administrative and clerical, there is ample opportunity for career development.
Responsibilities for this important role include:
Assisting with scheduling internal and external meetings, recording meeting minutes, and preparing meeting materials;
Assisting Bureau Director with state administrative functions and paperwork;
Managing Bureau and Health Home Director calendars and schedules;
Supporting prioritization and organization of e-mails, phone calls, administrative approvals for the Bureau Director;
Submitting travel and expense forms for the Bureau Director and the Health Home Senior Manager
Supporting the hiring process by reviewing resumes, as well as helping to draft and edit hiring/classification documentation;
Supporting the maintenance of the Bureau’s folders and drives in platforms like Sharepoint and Teams as well as document management and version history control;
Organizing employee onboarding materials and processes;
Answering and managing the Health Home phone line;
Gathering information to appropriately triage calls and e-mails, escalate programmatic issues, or respond directly using the guidance provided;
Assisting in the development of standard responses that address general questions and assist with common inquiries;
Formatting and editing of documents as needed;
Other administrative functions as necessary.
Associated duties may include:
Suggesting topics for electronic distribution (eBlast) and Medicaid Update articles based on top phone volume.
Reviewing policy and guidance documents and manual for areas needing updates.
Tracking documents submitted for review by professional staff from submission to final approval.

Proficient in Microsoft Office Suite and ability to learn new systems and applications.
Experience in a healthcare field.
Basic Qualifications:
High school graduate or equivalent
Three years of administrative experience
*Employees must follow established work schedules. The usual work schedule is 37.5 hours per week, Monday through Friday. Normal work hours are 8:30 a.m. to 4:30 p.m. unless otherwise specified by the supervisor, this includes a half hour unpaid lunch break. Total work hours must equal 37.5 hours per week.
Compensation for roles at Staffing Solutions Organization LLC (SSO) varies depending on a wide array of factors including, but not limited to, the specific office location, role, skill set, and level of experience. As required by applicable law, SSO provides a reasonable range of compensation for this role. In addition, SSO provides a range of benefits for this role.
