Job Summary

Ensures compliance with building-related contracts (janitorial, rental, and facilities management) between the County and external parties.

Essential Functions

  • Inspects County facilities; ensures they are clean, safe, and aesthetically pleasing; identifies conditions needing attention and action and prepares site inspection reports of results and findings; assists with ensuring the County’s adherence to Hazardous Materials requirements.

  • Prepares work orders to identify substandard conditions in or around County facilities and to request needed cleaning, maintenance, repair and/or restoration work; enters work orders into a Division database; tracks and updates the progress of requested work; and closes work orders upon the work’s completion.

  • Receives and responds to complaints from facility users regarding the condition of the facilities; initiates corrective action; tracks the resolution of complaints; follows up with users; and works to facilitate customer satisfaction.

  • Reviews invoices from vendors who provide facility-related services to the County for janitorial, landscaping, and maintenance contracts; approves invoices or calculates deductions as the result of response to discrepancies between contract standards and work product; creates and maintains spreadsheets, site inspection reports and other documentation needed to support contract deductions. Writes purchase orders for needed goods and services.

  • Monitors specific services for County facilities, including tracking fertilization schedule, schedules special services for County facilities.

  • Assists with the procurement of equipment, furniture, and service contracts for facilities; researches and identifies needs; assists with developing specifications; solicits bids from vendors; assists with vendor selection and contract administration; determines the need for special contractor work; identifies needed goods and services which are not addressed in existing contracts.

  • Establishes and maintains effective working relationships with employees in the Facilities Division’; assists County personnel, visitors, and the public as needed.

  • Responds to emergency situations involving County facilities as required; helps to secure facilities and ensure the safety of County employees and visitors.

ADDITIONAL FUNCTIONS:

  • Performs other related duties as required.

  • Essential Employees may be required to work during an undeclared emergency and/or declared emergency. On an incident-by-incident basis, the County’s Administrative Office will make the determination as to who will be required to work.

Minimum Qualifications

  • Associate degree required.

  • Three (3) years of related experience.

  • Candidates without a degree should possess two (2) additional years of related experience.

  • Fingerprinting required.

    LICENSES/CERTIFICATES:

  • Must possess and maintain a valid Florida Driver’s License with any applicable endorsement(s) to drive a county vehicle as provided in CMA 5805.
