DAI is looking to recruit Associate Project Finance Specialist to join our busy Finance Team. This will be a full-time, permanent role based in Belgrade (Serbia). Associate Project Finance Specialist’s primary responsibility is to support project finance team in their administrative tasks, and to manage financial aspects of up to six EU-funded projects including monthly reporting of project GP, comparison to budget, variance analysis, cash flow management and monthly / quarterly / annual forecasting. The Associate Project Finance Specialist will work closely with the internal project management teams and external project and finance staff. The Associate Project Finance Specialist should develop a thorough understanding of all aspects of their projects.

Key tasks, duties and responsibilities:

Processes

  • Administrative support to senior project finance team members.

  • Set up of new projects, and close down of ended projects in Oracle, recognizing any revenue/cost adjustments.

  • Preparing quarterly and annual forecast (estimate to complete) by project, and annual budget at end Q3.

  • Manage project cash flows with timely preparation of project sales invoices, ensuring payment is received within terms.

  • Monthly checking of all project cash requirements, to ensure adequate cash flow, and reconciliation of all field returns, followed by upload into Oracle.

  • Analysis of monthly figures by project, in conjunction with PM and PD, comparing to budget and forecast.

  • Explain any variances.

  • Dealing with Consultants and Services Providers agreements (including locals hired in the field).

  • Checking and authorization of project related purchase orders, supplier invoices and other costs.

  • Preparation of financial performance information for, and attendance at, quarterly project performance reviews with wider project team.

  • Calculation of project profit share due to partners where applicable.

  • Ad-hoc budget re-allocations, work on Business Development team’s requests for information relating to bids.

  • Consistency with company procedures when maintaining project files, original documentation (where applicable) and project finance folders.

Relationships

  • Build and maintain strong working relationships with all project finance team members, and the wider finance team.

  • Develop strong working relationships with Project Managers/Directors and field staff.

  • Establish strong working relationships with clients (European Commission and others).

  • Support expenditure verification process, client sponsored audits, as well as Annual company audit.

Systems

  • Ensure that all projects are properly set up and managed on Oracle.

  • Develop an understanding of the Timesheet Module on Oracle.

  • Proficient Microsoft Office user.

Qualifications, knowledge, skills and experience:

  • Degree in finance or equivalent working experience.

  • Working experience in the field of finance, and strong understanding of bookkeeping principles.

  • Exceptional time management skills - ability to meet deadlines, manage multiple stakeholder expectations, work independently within tight deadlines.

  • Ability to prioritize and multitask – both individual responsibilities, and those of the team as a whole.

  • Teamwork – support and work collaboratively within the Project Finance Team, and the wider Finance team.

  • Strong analytical skills and reasoning skills.

  • Excellent interpersonal, and both written and verbal communication skills – keeping stakeholders informed.

  • Sensitivity in dealing with confidential information.

  • Self-motivated, goal oriented with a sense of urgency and the ability to support the opportunity to grow.

  • Proficient MS Office user.

  • Fluency in English is a must, and a working knowledge of French, Spanish, or other widely spoken language is considered an advantage.
