National Winter Actvity Center WINTER: Race Program Administrator in Vernon, New Jersey

Position Purpose:

The Team W4K Race Administrator is a vital member of the Winter4Kids Athletics team, responsible for ensuring seamless program operations and supporting the race team, coaches, parents, and volunteers. This role encompasses administrative duties, event coordination, and hands-on support, fostering an organized, efficient, and welcoming environment for all participants.

Qualifications:

  • Strong organizational and administrative skills with attention to detail.

  • Experience in event planning, volunteer coordination, or similar roles preferred.

  • Ability to work flexible hours, including weeknights and weekends.

  • Proficiency with team and communication platforms (e.g., Stack Team App).

  • Excellent communication and interpersonal skills to engage with parents, athletes, and staff.

  • Demonstrated ability to manage multiple tasks and prioritize effectively.

  • Background in ski racing or familiarity with NYSSRA and U.S. Ski and Snowboard programs is a plu

  • Comfortable providing training and guidance to parents, athletes, and coaches on relevant platforms and processes.

    Responsibilities:

  • Attendance Management: Create, update, and maintain attendance sheets based on registration data. Enter data accurately into organizational systems.

  • Parent and Athlete Engagement: Greet parents and athletes, provide drop-in support, and connect families with the appropriate coaches and resources.

  • Volunteer Coordination: Organize and manage Race Team volunteers to ensure coverage for events and programs.

  • Event Preparation: Coordinate logistics and support for events, including FIS Races, Devo Programs, and U8 & U10 Experience Days.

  • Meal Coordination: Update kitchen staff weekly with meal counts for participants.

  • Race Day Support: Manage bib inventory and distribution while providing day-of coordination for race events.

  • Technology Administration: Manage the Stack Team App by updating information and training parents and coaches on its use.

  • Inventory Management: Oversee the maintenance and cleaning of coaches' clothing inventory.

  • Parent Orientation: Lead orientations for new parents, covering the Stack Team App, administrative ski racing processes, and NYSSRA guidelines.

    Work Environment & Physical Demands:

  • Some physical requirements of this position include standing, running, some bending, stooping, and stretching. Requires eye-hand coordination and manual dexterity to manipulate equipment and demonstrate sports activities. Requires a normal range of hearing and eyesight to record, prepare, and communicate appropriate camper activities/program.
