Position Summary

The Assistant Director of Housing Operations provides oversight and leadership for housing assignments and operations at Utica University. This position also oversees Pioneer Village, a residential facility, in conjunction with external partners. This position is a live-on position in which the successful candidate is required to live in the residence hall that they supervise to facilitate the personal, social, and educational growth of students and Resident Assistant staff through the application of student development theory to create significant and purposeful residential learning experiences.

Aside from overseeing Pioneer Village, the primary responsibilities for this position include housing selection, room changes, marketing and communications, key administration, damage billing, and preparation and administration of move-in and move-out processes. In conjunction with the Director of Student Living, this position will build and maintain strong relationships with a variety of on-campus offices. The Assistant Director of Housing Operations indirectly supervises the Student Living staff as it relates to housing operations. The position provides clear communication to students, staff, and families in regards to housing operations.

Utica University offers a flexwork program designed to give employees a greater work life balance. This flexwork program is an alternative to the standard 8:30 a.m. to 5:00 p.m., Monday through Friday, work schedule. While employees’ salaries, vacation and sick time are based on a full-time (37.5 hours/week) schedule, employees work an abbreviated 32-hour work week, with the flexibility of working either a four-day week or five abbreviated days. Supervisors will work with employees on scheduling to ensure the needs of the department are met.

Major Responsibilities

  • Residential Area Oversight (40%) :

  • Hold regular one-on-one and staff meetings to keep staff up-to-date on campus issues.

  • Directly supervise 3 Community Advisors and hold them accountable for agreed upon building and departmental expectations.

  • Coordinate programming of student staff according to the current programming model, including maintaining records and holding student staff accountable for meeting programming requirements.

  • Maintain consistent office hours Monday through Friday 8:00 AM – 5:00 PM (depending on approved flexwork schedule). Office hours will be split between the assigned residential area office and the Office of Student Living and Campus Engagement.

  • Do daily rounds throughout the assigned residential area.

  • Initiate contact on a regular basis with students in all area buildings. Be aware of and report problems and individual concerns of residents.

  • Develop and foster a sense of community and pride throughout the area.

  • Serve as a resource person for information about campus services, events, policies, and procedures.

  • Provide support for students concerning educational, career, and personal issues, and refer when necessary.

  • Enforce and educate students regarding University and residence hall regulations and policies.

  • Meet with students for Code of Student Conduct violations as a hearing officer and maintain appropriate records.

  • Provide direction to staff and students in communicating, interpreting, and administering residence hall and University policies and procedures.

  • Crisis Management

  • Participate in second-level on-call duty rotation (weekdays) and first-level on-call duty rotation (weekends and breaks), and respond to crises and emergencies.

  • Be familiar with established emergency protocols, and be prepared to implement them when necessary.

  • This position is considered essential and will be required to work during severe weather closings/delays or emergency situations, regardless of whether or not the College is closed.

  • Housing Operations (60% )

  • Implementation of housing operations processes in line with department and university goals including but not limited to assignments, opening, closing, health and safety inspections, room changes, damage billing, and selection processes.

  • Responsible for the implementation of the Operations Coordinator position including selection, training, and supervision of the Operations Coordinators.

  • Responsible for the Move-In and Move-Out Assistant process including selection, training, and supervision of these student employees.

  • Assist the Director of Student Living in maintaining occupancy reports, trends, historical data, and strategic goals.

  • Oversee administration processes such as: early arrival and late stay rosters, break housing, key management, and room condition reporting.

  • Assist the Director of Student Living in providing approved housing accommodations. May serve as a member of the Housing Accommodations Committee.

  • Assist the Director of Student Living with development and administration of the Office of Student Living and Campus Engagement housing policies such as: the Housing Agreement, and general procedures.

  • Assist the Director of Student Living in updating and maintaining educational materials on departmental websites, admissions materials, etc.

  • Assist the Director of Student Living in developing and maintaining a social media plan to engage students through various social media platforms.

  • Assist the Director of Student Living in creating operational reports in regards to furniture inventory.

  • Assist the Director of Student Living in creating master housing plans, policies, and strategic plans for ongoing development.

  • Serve as the Co-Advisor to the Residence Hall Association and hall councils within the first-year residence halls

Driving Responsibilities

Travel

Supervises Directly supervises the Graduate Resident Director of South Hall, and directly supervises student staff (2 Community Advisors, 10 Operations Coordinators, and Move-In and Move-Out Assistants).

Education & Experience Qualifications

A Bachelor’s Degree and 1 year professional experience in Higher Education is required.

A Master’s Degree in College Student Development/Higher Education/Counseling or similar degree and 3-5 years professional residence life or higher education experience is preferred.
