JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University, College of Engineering (https://www.engr.psu.edu/) is seeking an energetic, motivated, and detail-oriented full-time Graduate Program Support Coordinator (Academic Program Coordinator, Intermediate Support). The college-wide Graduate Program Support Coordinator’s duties include collaborating with the college’s graduate program staff to assist with the coordination and administration of various facets of the college’s graduate programs.

Duties for the graduate programs within the college include:

  • Act as the main point of contact for assigned program(s) providing guidance and support to students from the application process through graduation. Plan, prepare, and execute a variety of graduate events, including orientations and recruitment activities.

  • Regularly update graduate program communications, ensuring statistics, logistics, and policies are up-to-date.

  • Coordinate all graduate program correspondence related to recruitment, admissions, and appointment processes. This includes preparing Offer Letters and Terms of Offer forms, responding to prospective student inquiries, arranging campus visits (travel, lodging, etc.), monitoring applicant data in GRADS (Graduate Admissions Decision System).

  • Assist students in course-related functions, including adding or dropping courses, scheduling, and answering questions about curriculum and graduation requirements.

  • Coordinate and process faculty graduate teaching assignments for Department Heads' review and approval.

  • Maintain accurate and up-to-date records on graduate student registration, progress, and completion of milestones. Ensure compliance with University record security policies, retention schedules, and FERPA requirements.

  • Assist with the processing and oversight of financial commitments.

  • Assist with graduate curricular proposal process utilizing CourseLeaf Curriculum Inventory Management (CIM) system.

  • Monitor and update student progress toward achieving critical milestones, schedule all comprehensive exams and final thesis/dissertation defenses, and file the appropriate documentation with the Graduate School.

    Education and Experience:

High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Candidates must be detail-oriented and a team player; have excellent customer service, communication, interpersonal, organizational, and problem-solving skills; and be able to handle multiple tasks and work independently and in a team environment. Proficiency in LionPath, Workday, PowerBI/iTwo, Zoom, GRADS, SharePoint, Microsoft Office 365 (Outlook, Word, Excel) is highly desired.

Additional Information:

The College of Engineering is supportive of flexible work arrangements when aligned with the ability to meet the needs of the unit and the essential duties of the position. The salary range for this position, including all possible grades is:

$38,300.00 - $55,500.00
