JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University Libraries is seeking an Administrative Support Assistant for the Dean's Administrative Office. This position is responsible for providing administrative support to the leadership team and performing other essential administrative duties. This position will facilitate staff and faculty recruitment, prepare reports, presentations, and other documentation. This position will assist with faculty affairs, such as promotion and tenure, sabbatical leaves, and faculty and staff evaluations.

Other Duties Include:

  • Facilitate staff and faculty recruitment, support search committees, schedule committee meetings, handle correspondence, schedule candidate travel, coordinate interview schedules, and organize on-site interviews

  • Assist leadership team with calendar requests, travel arrangements, spreadsheets, distribution lists, and meeting coordination

  • Assist with the planning and coordination of activities, special events, and other functions

  • Design and maintain web pages

  • Provide support for Bednar internships and graduate assistantships

  • Order and distribute office supplies

  • May assist in the training of student workers

  • Serve as resource to others on a variety of subjects including office equipment, software application usage, and information processing procedures

  • Answer phone and respond to questions/concerns

  • May assist with budget reporting within SIMBA

  • Work with branch campuses to collect Student Auxiliary Officer data

  • May serve as the office Technology Workstation Liaison which includes tracking the lifecycle of equipment, arranging for equipment maintenance, other technology assistance.

The successful candidate must have good attention to detail, provide good customer service, and have effective interpersonal, organizational, and written/oral communication skills. Must be able to multi-task and have the ability to work in a collaborative team-based work environment.

The successful candidate will be flexible and willing to embrace new opportunities. Must have demonstrated commitment to diversity and be able to work independently.

Typically requires a High School diploma or higher plus 2-3 years of related experience or an equivalent combination of education and experience.

The salary range for this position, including all possible grades is:

$38,300.00 - $61,000.00
