JOB DESCRIPTION AND POSITION REQUIREMENTS:

We invite nominations and applications for the position of Administrative Support Assistant (ASA). Reporting directly to the Director of Academic Engagement and the Director of Program Development, the ASA will support the Directors and the Office of Scholars Programs staff. This position has a specific focus on creating a warm and welcoming office environment for students, providing student support, tracking data of scholars and students, strategic planning of events and activities, and providing administrative support duties.
Primary responsibilities include, but are not limited to:• Scheduling and calendar support• Provide logistical and general administrative support• General administrative support such as:
Agenda preparation
Meeting minutes
Preparing spreadsheets
Notifying students of scholarship application status via email
Arranging AV needs
Booking rooms/venues for events
Arranging catering as needed
Procuring supplies, materials, and any necessary items for events and programs
• Liaise and coordinate with internal/external stakeholders as needed
• Assist with communications and materials preparation
• Budget tracking and support• Reimbursements, ordering, and purchasing• Credit card reconciliation• Travel arrangements• Maintain office supplies inventory and restock as needed• Serve as front-line point-of-contact: collect, refer, and manage requests and inquiries; engage
departmental staff as appropriate; process incoming/outgoing correspondence (e.g., mail, email,
social media, OSP webpage, and phone)• Supervise student receptionist
Education and experience:This position typically requires a high school diploma or higher plus two years of related experience, or an equivalent combination of education and experience.
Candidates should have experience in the following areas:• Excellent writing and editing skills with a high level of attention to detail• Excellent oral and interpersonal communication skills• Excellent planning and organizational skills• High level of discretion in handling confidential information• Competency in the use of Microsoft Office 365 (including Outlook, SharePoint, Teams and
Bookings)• Experience with diverse teams and commitment to creating a climate of diversity, equity, and
inclusion at Penn State• Ability to build trust, create allies, and sustain mutually respectful relationships with administrators,
faculty, staff, students, and external collaborators• Working knowledge of or willingness to learn budget management and accounting systems,
expense reimbursement and settlement systems, and student information systems (e.g., LionPATH
and Canvas)

The following background checks must be successfully completed for this position:The successful candidate will occasionally accompany and/or transport individuals to appointments or meetings across campus and to/from campuses outside of University Park. A valid driver’s license and successful completion of a motor vehicle records check will be required in addition to standard background checks.

The salary range for this position, including all possible grades is:
$38,300.00 - $55,500.00
