Administrative Secretary Full-Time, Non-Exempt , Support Staff (Secretary/Clerical) Pay Grade: 5 Pay Range:$20.20 - See Support Staff Contract
JOB SUMMARY: Provides clerical support to the Office of Governmental and Community Affairs.
ESSENTIAL JOB DUTIES AND FUNCTIONS:
- Assess incoming inquiries to provide information or route to the appropriate person.
- Assists with scheduling appointments for the Vice President for Governmental and Community Affairs and Assistant Director of Community Affairs.
- Assists the Office of Governmental and Community Affairs with the planning and execution of special events and activities.
- Coordinates and supports special projects as assigned.
- Assist in the preparation of correspondences for the Office of Governmental and Community Affairs, including letters, emails, etc.
- Assist with managing social media and communications for the Office of Governmental and Community Affairs.
- Reconcile budget transactions, prepare reports, and monitor financial information to ensure all expenses are within budget.
- Serves as support to the SVSU Public Affairs Council. Responsible for preparing and recording meeting materials, meeting logistics. As well as maintaining the Public Affairs Council email account and calendar.
- Organizes, tracks, and assists with the execution of the events sponsored by the SVSU Public Affairs Council.
- Interacts with a broad spectrum of personnel, including university presidents, federal / state / local public officials, community stakeholders, senior staff, etc.
- Exercises exceptional judgment in communication with all constituents and maintains complete confidentiality.
- Performs other duties as assigned.
SUPERVISION RECEIVED:
Supervision is received from the Vice President for Governmental Affairs and Community Affairs. Work direction and guidance may be provided by the Assistant Director of Community Affairs.
MINIMUM QUALIFICATIONS:
High School Diploma or equivalent with additional education, training or certification in a related field.
Three years of job-related clerical experience, preferably in higher education, including excellent spelling, grammar, punctuation, basic math skills, and oral and written communication skills.
Demonstrated customer service and interpersonal skills in interacting with faculty, staff, students, and the general public.
Personal computer proficiency (Microsoft Office Suite) and ability to learn specialized software programs.
Experience and ability to positively interact with diverse populations and groups.
Ability to work independently with minimal supervision and accept direction for multiple and diverse employees.
