Summary
The Assistant Project Manager is to assist the Senior Manager with the planning and coordination of activities for facility capital projects to ensure that goals and objectives of projects are accomplished within prescribed time frames. Responsibilities include client interface, cost & schedule estimating programming, planning, cost control, and financial reporting.
Responsibilities:
Project Management Support
Provide project management and maintenance team with cost to date reporting to allow for future planning
Provides timely, ongoing feedback to clients regarding project activity and deliverables. Works closely with internal clients to identify and correct operational issues quickly
Coordinates activities on assigned projects, including tracking and maintaining job schedule and budget
Serves as cost controls for Project Managers, reviews budget and contract when receiving an invoice and confirms if invoices are consistent with previously agreed upon terms prior to payment
Perform final quality review of all documentation prior to submission for Department approvals (including contract, invoices, bid milestones and funding documents)
Manage and coordinate selected project vendors
Ensure project files (electronic and paper) maintain documented backup necessary for auditing purposes
Coordinate security access for vendors as required
Lead project punch list process to completion
Lead project close-out process. Responsible for ensuring that project close-out packages are complete. Take ownership of close-out process, including identification of required close-out documentation, management of vendors for timely and complete submittal, and review of close-out documentation with stakeholders, including final hand-over to facilities.
Provide support on monthly cost reports, labor charge out, cash flows, and any other needed reporting
Research and facilitate resolution of project issues in collaboration with Project Managers
Manage and track warranty periods. Coordinate repairs with general contractors prior to warranty expiration.
Purchasing Support
Purchase materials for Preventative Maintenance and Corrective Maintenance work orders across Facility Maintenance and Construction
Update Operating Expense project trackers across the department, run actuals, and provide updates to Finance as needed
Collecting and maintaining inventory for the department (golf cart, wardrobe, Mill materials)
Purchases materials and subcontracts economically and expeditiously for projects assigned
Works with Legal and Sourcing on new contracts and competitive bid process
Qualifications/Requirements:
Bachelor’s degree from a four year college or university in Construction Management, Architecture, Engineering or related field; or equivalent combination of education and experience required.
3-5 years of project management/maintenance planning in a theme park or related industry. Project Management certification preferred.
Familiarity of local/regional codes and ordinances, reading/interpreting construction documents and contracts
Familiarity of managing multiple projects and contractors at once including in a fast paced environment.
Ability to make accurate quantity surveys and to estimate the cost of materials, labor, equipment, and subcontractor's work, ascertaining that all areas have been accounted for prior to submitting estimate for review.
Familiarity of systems, quality control and troubleshooting within the area of responsibility
Ability & willingness to work overtime, weekends and holidays with short notice
Experience working with CMMS systems preferred. (Maximo, etc.)
Expert in Microsoft Excel
Proficiency in Microsoft Word, Outlook, PowerPoint and Project.
Proficiency in AutoCAD.

Salary range: $$90,000 - $125,000 (bonus eligible).
