The Department Assistant II will interact extensively with the Associate Dean for Student Affairs, current students, staff, and faculty. The Department Assistant II will also assist with other special projects as assigned by the Associate Dean for Student Affairs. In addition, the Department Assistant II will provide clerical support to the Chapman Distinguished Professor of Law as needed.CHARACTERISTIC DUTIES:Assists students and visitors to the College of Law at front office counter. The Department Assistant II will be the first point of contact for the Dean's Suite.Sorts and distributes mail for Dean's SuiteEnsures that Dean's Suite is unlocked, lights are on, and fireplace is turned on and off at the appropriate times Assists with routine physical plant issues regarding the buildingManages calendar, phone calls, and appointments for Associate Dean for Student Affairs Provides clerical support to the Associate Dean for exam administration, probation and dismissals, scholarships, bar support, CALI and other student awards, character and fitness letters, letters of good standing, graduation activities, and other support as requestedOrders supplies and maintains supply inventoryAssists in Faculty Support Center during exam periods and other times as neededProvides clerical support as needed for the Chapman Distinguished Professor of LawPerforms other duties as assigned/neededMINIMUM QUALIFICATIONS:Specialized secretarial/clerical training which may be obtained through a high school, vocation, technical or business school; two to three years of administrative experience; generally requires a 70% on University Prove-It testing software; proficiency utilizing a personal computer with Microsoft Word and Excel; strong ability to work with minimal supervision and self-motivation; ability to maintain confidentiality; attentiveness to detail; excellent oral and written communication skills; ability to effectively prioritize and coordinate office responsibilities and projects; ability to handle multiple tasks and meet deadlines; experience in working with diverse groups of people.PREFERRED QUALIFICATIONS:Familiarity with the University's Colleague information system and Perceptive Content imaging suite; familiarity with the Internet; some college coursework; and proficiency in grammar.APPLICATION INFORMATION:The University of Tulsa seeks to recruit and retain talented students, faculty and staff from diverse backgrounds.
