Actalent Project Coordinator, Engineering Services in Troy, Michigan

Actalent Services (formerly EASi LLC) is hiring a Project Coordinator for a permanent role in Troy, MI offering hybrid/remote flexibility.

The Project Coordinator is responsible for supporting Actalent’s Delivery Teams, Project and Program Managers, and their services engagements. The Project Coordinator’s core duties include project setup, purchase order (PO) configuration, PO maintenance, and project data compliance within internal systems of record. The Project Coordinator provides project reporting and relevant information on billing, invoicing and financial data analysis. Additional responsibilities for the position are defined by the necessities of projects, programs and clients supported.

This position offers hybrid (initially) and remote work options and is open to qualified candidates located near Actalent Engineering Centers in Troy MI, Cary NC or Phoenix AZ.

Responsibilities and Duties

  • Support Actalent's Services Delivery Leadership including multiple Project and Program Managers in the internal project set up, tracking and reporting.

  • Project documentation duties – maintains/documents progress against purchase orders and/or SOW's; creates/maintains schedule and action item list, completes/maintains/files regulatory documentation.

  • Review contracts to ensure that the project data is consistent, and the project set up is accurate.

  • Create and maintain purchase order burn monitoring, tracking, and report generation.

  • Organize and archive all related documents for project team.

  • Schedule and host Project Health meetings with project teams to discuss program health or risk assessments.

  • Provide data updates and determine action item lists and ensure project team adherence to deadlines and follow up through completion.

  • Transform raw data into customized internal and/or client-facing reporting for visibility into project status and health.

  • Perform project analysis through researching and troubleshooting reporting errors, discrepancies, or questions that arise.

  • Collaborate with internal project teams and assist with conflict resolution, as needed. Schedule and host additional project team calls as needed.

  • Assist with project updates and change management tasks by submitting project change requests and other administrative tasks. Ensure that project change requests are submitted and processed by identified deadlines such as ahead of invoicing dates. Revalidate as needed.

  • Collect and provide input data for new project resources following the identified internal process.

  • Prepare for and attend internal meetings to support the project team and operational initiatives.

  • Adhere to all established processes and standards including any regulatory project components.

Minimum Abilities and Skills

  • Bachelor’s Degree in management, accounting, finance or business-related concentration preferred.

  • Minimum 2 years of professional experience involving program or project management, project coordination or project support, with exposure to contract interpretation, service agreements, staffing resource tracking, budget development, and/or project administration required.

  • Highly proficient in PC applications and MS Office suite of tools a must

  • Advanced skills with MS Excel is required.

  • Prior professional exposure to engineering and/or product development related projects desired.

  • Ability to prioritize responsibilities and multi-task in fast pace environment.

  • Ability to review and distribute information analytically, organize data efficiently and demonstrate effective time management skills essential for success in role.

  • Excellent written and verbal communication skills.

  • Strong interpersonal and problem-solving skills.

Pay and Benefits

The pay range for this position is $55000.00 - $62000.00
