Job Title: Payroll System Specialist

Job Description

We are seeking a dynamic Payroll System Specialist to lead our payroll processing, compliance, and operational excellence efforts. This role involves overseeing biweekly payroll for 10,000 employees, ensuring accuracy and efficiency in payroll operations, and maintaining system integrity. The ideal candidate will have a strong background in payroll systems, implementation, and process improvement, with a focus on providing exceptional customer service.

Responsibilities

  • Lead end-to-end biweekly payroll processing for 10,000 employees, grossing approximately $700 million annually.

  • Manage additional payroll processing for off-cycles and special runs as required.

  • Prepare and administer special payroll runs, including retro payments, wage enhancements, and special incentives.

  • Process sensitive and non-routine transactions such as termination and severance payments, salary continuance, and retirement allowances.

  • Manage T4A payments, including fellowships, graduate and summer students, and fees for service.

  • Process high-volume transactions such as education allowances and uniform allowances using system uploads.

  • Prepare payment requisitions for Accounts Payable on Payroll’s behalf.

  • Handle reimbursements from various parties, including system entry and cash office deposits.

  • Prepare, maintain, and reconcile pre-authorized debit withdrawals for employees on leave.

  • Execute and develop routine audits to ensure payroll accuracy.

  • Continuously review and improve payroll processes to minimize operational risks.

  • Provide excellent customer service and resolve day-to-day payroll issues.

  • Provide timely advice to stakeholders including employees, managers, HR, and Finance.

  • Ensure master payroll system setup aligns with legislative requirements and internal policies.

  • Perform testing to validate system changes before implementation.

  • Coordinate with HR and Business Informatics teams to maintain system performance.

  • Provide reporting and analytics support for internal and external stakeholders.

  • Support financial recoveries and correct GL issues with Finance.

  • Assist with measuring service experiences to support performance objectives.

  • Monitor and prepare key performance metrics to promote quality improvement.

  • Support external auditors and manage all year-end payroll tasks and reporting.

Essential Skills

  • 3-5 years of experience in payroll processing.

  • Practical experience with HRIS, Payroll, and time & attendance systems.

  • Experience with system implementation and change management.

  • Advanced Excel skills (VLOOKUP, Pivot Tables, Formulas).

  • Year-end experience and T4 reconciliations.

  • Experience working with unions and processing payroll for 1500+ employees.

  • Certification in payroll (PCP or CPM).

  • College diploma/degree in Human Resources, Business Administration, Accounting, Finance, or Computer Science.

Work Environment

This role operates in a hybrid model with one day in the office per week. The standard work week is 37.5 hours, with flexible hours from 8:30 am to 4:30 pm. Some rotating evening and weekend work is required for payroll processing.

Pay and Benefits

The pay range for this position is $40.00 - $45.00
