JOB SUMMARY:

The Project Controls Specialist is responsible for assisting the Project Controls Manager and Construction Team with all aspects of technical and administration functions to ensure efficient and effective operations in the Construction organization. Personal initiative and critical thinking skills are essential to complete job duties with minimal guidance. Assignments are deadline driven so the incumbent must be able to set priorities, take ownership of projects, work efficiently and provide a consistent level of high quality in a high-pressure environment.

ESSENTIAL FUNCTIONS:

  • Assist the Project Controls Manager with overall company financials for all construction projects.
  • Facilitate and participate with monthly financial close out program, including projections, future work tracking, and work in progress (WIP) reviews.
  • Assist with forensic review of financials, as needed, to identify and correct accounting errors and reduce future financial implications.
  • Monitor and modify project budgets, cost projections, cost allocations, and cost tracking with provided templates for construction projects, with oversight from the Project Controls Manager.
  • Communicate cost alterations to project teams.
  • Manage revenue by working closely with project managers to ensure invoices are prepared accurately, approved by the Client in a timely manner, and properly submitted internally.
  • Assist Project Controls Manager with tracking capital purchases, executed payments, defining and monitoring deprecation schedules, and communicating asset list updates.
  • Monitor and update project control system, tracking costs and percent-to-completion to ensure projects are executed on time and within assigned budgets.
  • Analyze project expenditures and propose appropriate changes to operating practices for more efficient purchasing, logistics management, and subcontract management to Project Controls Manager.
  • Assist Project Controls Manager with development of technical approaches for responding to Request for proposals (RFPs).
  • Collaborate with the Contracts Manager on construction-related contract/subcontract agreements with oversight from the Project Controls Manager.
  • Upon contract award, assist with setting up new projects with accounting and electronic project files.
  • Ensure copies of contracts/subcontracts are filed in project files.
  • Codes subcontract/vendor invoices and compare/track against subcontracts or purchase orders.
  • Participate in updating and maintaining project schedules.
  • Assist with conducting vendor and internal audits of database records and confirm document accuracy, quality, and completeness.
  • Visit project sites to help the project management team manage project financials.
  • Assist with company in-house Excel, Heavy Job, and Costpoint training and administration.
  • Act as liaison between corporate accounting and project offices with oversight from the Project Controls Manager.
  • Work in a constant state of alertness and in a safe manner.
  • Perform other duties as directed.
