Operations Support Coordinator

Our Operations department in Koto-Ku, Tokyo, Japan is now looking for a Operations Support Coordinator. The Operations Support Coordinator is responsible for ensuring the smooth operation of Permobil's daily activities while providingtechnical support to customers and internal teams. This hybrid role combinesoperational managementwithtechnical troubleshootingtooptimize business processesandenhance customer satisfaction. Key Tasks

ROHO Repair Request Handling

  • Manage and process repair requests for ROHO products

  • Collect necessary information and photos from customers to assess repair needs

  • Coordinate with repair technicians to ensure timely and accurate repairs

    Rental Business Operations

    Power Wheelchair and Parts Shipping:

  • Process orders and prepare electric wheelchairs and parts for shipment

  • Ensure proper packaging and labeling for safe delivery.

    Invoice Creation and Dispatch:

  • Generate and verify invoices based on order details

  • Dispatch invoices to customers via email or postal service.

    Power Wheelchair and Parts Inventory Management and Ordering:

  • Monitor inventory levels and replenish stock as needed

  • Place orders with suppliers and manage delivery schedules.

    Sales Support:

  • Monitor inventory levels and replenish stock as needed

  • Place orders with suppliers and manage delivery schedules.

    Administrative Support for Sales Operations

    Info Email Sorting and Sales Support:

  • Sort and distribute incoming emails to the appropriate departments or personnel

  • Respond to customer inquiries and provide necessary information

  • Manage sales team schedules and coordinate meetings

    Rental Equipment Reconfiguration

    Reconfiguration of Power Wheelchairs Due to Specification Changes:

  • Assess customer requests for specification changes and prepare necessary parts and tools

  • Perform reconfiguration tasks to meet customer requirements.

    Adjustment of Rental Power Wheelchairs:

  • Handle adjustment requests for rented power wheelchairs

  • Ensure customer satisfaction by performing precise adjustments and obtaining customer approval.

Your Background - Including Key Competencies

  • Bachelor's Degree or equivalent education: A bachelor’s degree in mechanical engineering, or a related field is preferred

  • Business and Technical Knowledge: Strong understanding of both business operations and technical support principles

  • Communication Skills: Excellent written and verbal communication skills

  • Technical Support Experience: Minimum of 2-3 years of experience in a technical support role, providing troubleshooting and customer assistance

  • Operations Experience: Proven experience in back-office operations, including order processing, inventory management, and administrative tasks

  • Customer Service: Demonstrated experience in customer service, with a focus on resolving issues and ensuring customer satisfaction

  • Cross-Functional Collaboration: Proven ability to work effectively with cross-functional teams, including sales, engineering, and operations
