Responsible for handling insurance related documentation processes, including certificates of insurance (COI), auto ID cards, invoices, and various policy tracking. Assists the Risk Management and Legal departments with an array of activities associated with the company’s risk management, insurance and vendor programs.
Primary Responsibilities
Handle COI requests, tracking and renewals for all vendors/customers and proactively monitor and support companywide COI compliance
Oversee accurate maintenance and administration of all auto ID cards
Upload and maintain documentation for insurance and risk management within the Risk Management Insurance System (RMIS)
Manage timelines for policy/endorsement, invoices, insurance applications and other Risk Management department and insurance renewal documentation
Maintain schedules/charts of current insurance policies/bonds and insurance renewals
Maintain all internal Risk Management shared drives, intranet pages and imaging folders
Assist with the gathering of insurance renewal information and backup for insurance audits
Handle Risk Management department’s compliance with record retention program
Assist with companywide record retention program
Assist in building/enhancing business processes for the enterprise wide vendor risk management function both internally and externally
Coordinate and maintain all vendor management documentation tasks – working with external vendors and internal employees
Assist with coordinating meetings, including locations, setup/clean up, catering and travel arrangements
Handle phone calls, photocopying, scanning, faxing, filing and mail
Job Qualifications
Education:
- High school diploma or GED required
Experience:
1+ years of experience in general office administration
Knowledge or experience within insurance risk/management or vendor management preferred
Proficient with Microsoft Office (Outlook, Word, Excel and PowerPoint) and document input devices (scanner, printer, etc.)
Organized and detail oriented
Team player, dedicated to integrity and producing high quality results
