Waterford Upstart provides four-year-old children access to the highest form of academic support in their early education at no cost to participants. It offers personalized education and coaching, a computer and internet if needed, and adaptive education software. Our Summer Operations Administrative Assistants play an important role in helping us achieve our organizational mission and providing an excellent experience to all families!
Our summer is split up into three parts: Pre-Season, Prep Season, and Event Season.
During Pre-Season, you will work closely with your manager to prepare for the rest of the interns' start. This will include cross-checking schedules, editing training materials, organizing equipment, and setting up workspaces.
During Prep Season, you will be working in our office in Taylorsville, UT, doing a variety of tasks to prepare for Event Season. We will use this time to team up with other departments, receive training for Event Season, and perform various administrative duties. These tasks are often repetitive in nature. You will also help run our End of Year Celebration events. You can expect to work four 10-hour shifts each week (totaling 40 hours a week). Prep Season shifts are from 7:30 AM - 6:00 PM Monday - Thursday.
During Event Season, you will be responsible for preparing all the materials needed for our teams to run events. This includes creating and printing event materials, tracking participant attendance, confirming event bookings, and verifying travel reservations. You will also be responsible for answering questions and solving various problems as they arise. These tasks are often repetitive in nature. You will be the point of contact between the Events Interns and managers to ensure everything is going smoothly. You will also occasionally step in and work an event shift as needed. You can expect to work four 10-hour shifts each week (totaling 40 hours a week).
This position will run from May 5 - August 21.
Responsibilities
Pre-Season (May 5 - May 29)
Assist Events Coordinator with preparing for Events Interns
Confirm venues
Cross-check schedules
Set up workstations for all interns
Perform various administrative duties
Prep Season (June 2 - July 10)
Attend event and admin training
Assist managers with training days
Perform various administrative duties
Assist in preparing materials for and working the End of Year Celebration Events
Confirm schedules and venues for upcoming events
Event Season (July 14 - August 21)
Prepare event materials such as name tags, admin sheets, and other event materials
Confirm event locations and staff travel plans.
Create itineraries for traveling teams
Monitor the Event Help chat and respond to questions
Complete various administrative tasks
Prepare equipment to be shipped to participants
Occasionally substitute for an Events Intern and work events

Qualifications
High School Diploma or GED
2+ years of customer service, events, or similar experience
Proactive, attentive to details, and able to follow complex processes, including the use of computers
Outstanding knowledge of Microsoft Office (Word and Excel)
Able to lift 40 lbs, bend, stoop, reach, and stand for long periods of time
Must be willing to drive a 15-passenger work van for pick-ups and deliveries
Prioritize tasks while balancing last-minute requests
Willing to work four 10-hour days
Must be willing and able to drive or make transportation arrangements to our Taylorsville office every day
Able to do repetitive tasks for long periods of time
Prior administrative experience is a plus

A $100 bonus will be given to Administrative Assistants after their first six weeks of work are completed.
