Canon Business Process Services Legal Administrator in TAMPA, Florida
Overview
Will be responsible for creating a wide variety of documents using different types of software applications. Will interact with the clients in providing document support and production with a strong commitment to customer service and client satisfaction.
Responsibilities
Heavy administrative support for junior and mid-level associate attorneys with respect to travel requests, research assignments, mail services, scheduling and expense reports
Create, format, revise, produce and print complex legal documents according to specific jurisdictional and client requirements (i.e., Excel spreadsheets, PDFs, charts, diagrams, PowerPoint presentations, etc.) that require advanced software skills Format/create Tables of Authorities, Tables of Contents, paragraph numbering, styles, cross-references, footnotes, tables, diagrams, etc.
Document production utilizing Microsoft Office 2010, Adobe Pro/DC, and FileSite, legal numbering software such as Innova or MacPac, Best Authority, DocX Tools, and any other relevant new or updated software provided by the firm or required by the client
Troubleshooting and repairing problem documents
Other administrative duties as determined by the needs of the firm
Qualifications
Bachelor’s degree in a related field preferred
5+ years of legal administrative and documentation experience in a law firm setting
Ability to manage complex legal documentation mark-ups (heavy formatting, style work, table of contents, graphs/charts/diagrams, document conversions and revisions)
Advanced proficiency in Microsoft Office Suite, Adobe Pro, FileSite, and Document Management Software
Ability to perform advanced functions in PDF, MS PowerPoint, and MS Excel (Tables, Formulas, Charts, Formatting, etc.)
Ability to work as part of a team, juggle various assignments, and produce accurate documents in a fast-paced, deadline-oriented environment
Flexibility to participate in general responsibilities to support the Resource Center and the firm
Excellent verbal and written communication skills
Demonstrated ability to meet obligations with confidentiality, integrity and sensitivity
Ability to deliver high quality client service to our internal customers
Advanced proficiency in Windows, Microsoft Office, Adobe Pro/DC, and FileSite or similar document management system
PHYSICAL DEMANDS
Physical activity required including bending, climbing stairs, reaching, lifting and prolonged periods of sitting or standing
May lift and/or move up to 40 lbs
Mental qualifications include ability to utilize a variety of software applications to create documents .
