The Florida Digital Service is the lead entity responsible for state enterprise cybersecurity. It was established to propose innovative solutions that securely modernize state government, including technology and information services, to achieve value through digital transformation and interoperability, and to fully support the state’s cloud-first policy.

The OPS Intern is responsible for supporting the Cybersecurity Community Operations team in managing and coordinating cybersecurity initiatives. Assists with scheduling and calendar management, managing electronic files, addressing general queries, and supporting the preparation of reports and presentations. Provides administrative, coordinating, and logistical support to ensure the smooth operation of various team functions and initiatives.

Key Responsibilities:

· Scheduling and Coordination:

Assist with scheduling and calendar management for meetings and training sessions. Generate Zoom and Teams links and support pre-meeting role facilitation and post-meeting activities.

· Documentation and File Management:

Manage and organize electronic files, documentation, and resources. Maintain ISM forms and updates.

· Query and Communication Management:

Address general queries through the Security@Digital email box. Serve as a liaison between the various cybersecurity teams, agencies, and vendors, ensuring timely communication.

· Report and Presentation Preparation:

Assist in the preparation of reports and presentations. Compile and review various reports, ensuring accuracy and completeness.

· Security Training Content Maintenance:

Assist with updating and maintaining security training content. Support the coordination of training plans and content updates for cybersecurity awareness and training.

· License and Documentation Monitoring:

Help in monitoring cyber security solution licenses and coordinating responses to agency inquiries.

· Training Facilitation:

Assists in maintaining documentation for cybersecurity awareness and training vendors as well as tracking of planned and completed training for enterprise.

· Event and Exercise Facilitation:

Aid in the setup and facilitation of the annual ISM/CSIRT Training Exercise and support tasks associated with cybersecurity conference events, including logistics.

· Cybersecurity Advisory Council Support:

Help manage Cybersecurity Advisory Council Work Group facilitation, including maintaining the SharePoint site, uploading documents, compiling meeting notes, and putting together quarterly packages.

· Operational Support:

Provide general support for other operational and clerical functions as needed, ensuring the smooth functioning of office and its operations. This includes maintaining a tidy and organized work area (ensuring that cords are bundled, the floor remains presentable and safe for the team and guests, etc.)

· The incumbent will perform other duties as assigned by management, supporting the overall mission and objectives of the team.

Technical Proficiency:

· Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).

· Comfortable using various tools for data entry and management.

  • High level of accuracy in data entry and documentation.

    · Keen eye for detail to ensure reports and slides are free from errors and discrepancies.

    Communication:

    · Strong written and verbal communication skills.

    · Excellent organizational skills to manage multiple tasks and priorities.

    Minimum Requirements:

    Education:

    · High school diploma or equivalent

    Experience:

    · Two (2) years of professional experience using Microsoft Office Suite (Outlook, Excel, Word, PowerPoint); and

    · Two (2) years of professional experience interacting with various stakeholders verbally and in writing; or

    · Equivalent educational or volunteer experience beyond the minimum required education.

    Preferred Qualifications:

    · Some college coursework in business, administration, or a related field.

    · Prior experience in an administrative role or similar position.

    · Experience in an information technology environment.

    · Basic understanding of IT and/or information security operations is desirable.

    Other job-related requirements for this position:

    Position requires sedentary work and repetitive motion.
