· Type: Temp-to-Hire

· Pay: $22/HR

· Shift/Hours: Monday – Friday 8:30AM – 5:00PM

Job Description: Provide comprehensive administrative and secretarial support to attorneys specializing in litigation and government relations. Responsibilities will include, but are not limited to:

Administrative Support:

· Manage attorney calendars, including scheduling appointments, meetings, and court dates.

· Arrange travel accommodations and prepare travel itineraries as needed.

· Answer and screen phone calls, taking messages and directing inquiries as appropriate.

· Draft and proofread correspondence, legal documents, pleadings, and other materials.

· Maintain organized electronic and physical filing systems.

· Filings at the Florida Division of Administrative Hearings, Florida’s Circuit Courts and Federal Courts.

Document Preparation and Management:

· Prepare and file legal documents with courts, agencies, and other parties as required.

· Assist with document production, including formatting, editing, and finalizing legal briefs, contracts, memos, and reports.

· Ensure accuracy and completeness of all documents and correspondence.

· Initial preparations of variances relating to Medical Marijuana Treatment Centers

Client Interaction and Communication:

· Coordinate communication between attorneys, clients, and other parties involved in legal matters.

· Maintain confidentiality of sensitive information and communications.

· Other Duties:

· Assist with billing and invoicing processes, including time entry and client billing.

· Participate in team meetings, trainings, and professional development opportunities.

· Perform general office tasks and support other administrative staff as needed.

Qualifications:

· Bachelor’s degree or equivalent related experience.

· 10+ years’ experience as a legal secretary or administrative assistant in a law firm setting.

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software applications.

· Excellent typing and transcription skills with a high level of accuracy and attention to detail.

· Strong organizational skills and ability to prioritize tasks effectively in a fast-paced environment.

· Exceptional communication skills, both written and verbal, with a professional demeanor.

· Ability to maintain confidentiality and handle sensitive information with discretion.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Position Type/Expected Hours of Work:

· This is a full-time position, and hours of work and days are Monday through Friday, 8:30 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.

Pay Details: $22.00 to $24.00 per hour
