Pacific Lutheran University Senior Administrative Assistant - Couple & Family Therapy Center in Tacoma, Washington

Work Schedule:

Part-time; schedule is somewhat flexible with approximately four, 4-hour shifts Monday-Thursday.

General Description:

The Sr. Administrative Assistant for the Couple & Family Therapy Center (CFTC) works closely with the Clinic Director (PLU faculty) and one Clinic Staff (graduate student) to facilitate the day-to-day operations of the CFTC. This position provides case management for clients seeking therapy services at the Center, including managing phone calls, questionnaires, referrals, and post-therapy feedback, training new Clinic Staff, conducting client/therapist assignments, updating the training manual for students, managing the electronic health recording (EHR) system, keeping track of subscriptions, and placing work orders. The position is in-person and reports to the Clinic Director.

Essential Functions and Responsibilities:

  • Communicate regularly with Clinic Director, staff, and students about issues pertaining to the running of the CFTC.
  • Ensure that the CFTC is in working condition: place work orders as needed, tidy up before/after sessions.
  • Manage monthly order supply list.
  • Conduct quarterly reviews of client files and provide feedback to therapists.
  • Meet twice-monthly with the Clinic Director and Clinic Staff.
  • Facilitate initial phone calls and screening questionnaires for clients wanting to be seen at the Center to determine appropriateness for services.
  • Create new case files in EHR system and manage client assignments.
  • Communicate new assignments clearly to student therapists.
  • Provide crisis management and outside therapy resource referrals for clients as needed.
  • Conduct therapy evaluation interviews with recent clients.
  • Work with Clinic Director to review training manual for incoming student therapists and maintain forms, records, and protocols to align with professional standards and ethics.
  • Work with Clinic Director to train new Clinic Staff and student therapists who work at the Center before beginning their internships in the community.
  • Manage Center-related subscriptions, including advertising for the CFTC and the electronic health record (EHR) system.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:

  • Excellent interpersonal and communication skills.
  • Demonstrated strength to work effectively with a diverse student body and client/community context with a particular focus on providing equitable care experiences for people of color and other marginalized populations.
  • Ability to work well within a team, as well as with community partners.
  • Strength in administrative skills necessary for running the center.
  • Ability to maintain a high level of confidentiality.
  • Competency or ability to develop competency with computer processes, including EHR systems, Word, and Excel.

Required Qualifications:

  • 1.5 years of customer service or other job-related experience. Education may substitute for some experience.
  • High school diploma or GED.
  • Finalist applicants must satisfactorily complete pre-employment background check and declaration regarding sexual misconduct with references, subject to verification.

Preferred Qualifications:

  • Bachelor's degree.
