What can you expect? As the Equipment Administrative Coordinator, you will work onsite in Tacoma, WA and play a vital role in supporting the efficient operation of the equipment and trucking division within our heavy civil construction company. You will be responsible for processing billing and invoices, managing timecard entries for trucking employees, processing L&I and DBE paperwork for trucking projects, and providing administrative support to project teams and drivers. The ideal candidate will possess strong organizational skills, attention to detail, and a solid understanding of construction and/or trucking equipment operations.
How will you do it?
- Enter all driver's and mechanics' payrolls each week.
- Code and distribute equipment and trucking invoices to managers for approval.
- Pull online invoices for Trucking & Equipment.
- Prepare and turn in all expense and personal mileage reports for the Mechanics & Department Managers.
- Process all billing A/R & A/P for trucking department.
- Follow-ups with customers on outstanding payments.
- Track rental equipment invoices in ProCore.
- Set up new credit accounts for the equipment department.
- Manage multiple inboxes in Outlook 365.
- File Intents and affidavits for all trucking jobs.
- Set up new trucking jobs in HCSS.
- Responsible for all contract/reporting compliance for every trucking job.
- Assist with quoting for trucking & material as needed.
- Distribute truck tickets within Procore to all jobs.
- Track/enter tonnages for trucking on Tunista jobs.
- Update DMCS System/WSDOT Audits for Trucking and some civil jobs.
- Assist the drivers by providing administrative support with badging and sending paystubs.
- Provide office support, greet visitors, answer and direct incoming calls, take messages, make copies, scan documents, fax, and mail in the main office.
- Assist in ordering and organizing office supplies.
- Work in a constant state of alertness and in a safe manner.
