POSITION DESCRIPTION:

The Accounts Receivable Supervisor will provide supervision of all accounts receivable billing functions for CCSSW accounting.

Responsibilities

Accounts Receivable Billing Supervision

  • Manage A/R billing functions for all companies, provide training and guidance on transaction processing and accounting procedures to Staff Accountants and Accounting Technicians.

  • Review and approve reconciliations and general ledger entries prepared by Staff Accountants

  • Ensure general ledger accounts have been adjusted and reconciled on a monthly basis. Perform/monitor monthly closing procedures to ensure accurate cut off of transactions for financial statement review.

  • Maintain proper staffing levels to complete all A/R functions in a timely manner.

  • Ensure that timely deadlines are met for payment cycles and data for contract reimbursement.

  • Maintain a working knowledge and understanding of contract terms to facilitate and monitor revenue collection and recording. Design and implement accounting procedures to meet contract term and conditions.

  • Be able to do all the functions of a Staff Accountant and Associate Staff Accountant and fill in when necessary.

  • Review invoices and maintain an accurate aged receivable.

  • Maintain aged receivable listing. Ensure the Accounting Director and Program managers receive accurate and timely reports on a monthly basis for management decision making purposes. Monitor aged receivables and facilitate the collection of past due accounts. Provide billing and payment history information to program staff upon request.

  • Ensure timely submission of invoices to facilitate agency cash flow. Maintain, prepare, and collect data necessary to prepare accurate and timely billings.

  • Reconcile receivables, cash receipt, and revenue balances to the general ledger on a monthly basis and resolve any reconciling items in a timely manner. Prepare and post accounts receivable, cash receipts and revenue journal entries to the general ledger.

  • Proof invoice batches for accurate postings and data entry.

  • Provide information related to receivables, cash receipts and revenue for the annual regional office’s audit.

  • Prepare audit schedules for annual audit

  • Assist with annual budget preparation.

  • Assist Financial Analyst with contract monitoring.

  • Assume any other responsibilities as may be reasonably assigned.

    Supervisory Responsibilities

  • Supervise the AR team

  • Responsible for assisting in the hiring, training and development of A/R Staff Accountants and Associate Staff Accountants.

  • Facilitate staff meetings.

  • Conduct performance evaluations.

  • Administer coaching, mentoring and counseling of A/R staff as required.

Qualifications

Minimum Qualifications:

  • Bachelor’s Degree in Accounting, Business Administration and/or related field; or 5 years experience in a non-profit, government funded, social service environment performing professional level duties.

  • Demonstrated ability to function as a member of a team.

  • Strong computer skills especially in Windows, Excel and accounting software packages.

  • Good written and oral communication skills.

  • Excellent organizational skills and ability to work in a busy/diverse environment
