Description We are in search of a Front Desk Coordinator to join our team in the IT Software industry, based in Sunnyvale, California. This crucial role involves managing the reception area, ensuring smooth daily operations, and providing administrative support. The position offers a short-term contract employment opportunity.
Responsibilities:
• Ensuring the reception area is always tidy, detail oriented, and inviting.
• Welcoming and assisting visitors, employees, vendors, and clients with courtesy and warmth.
• Overseeing the front desk area to maintain its organization and presentation.
• Adhering to visitor protocol, including the issuance of visitor badges.
• Promptly informing employees of guest arrivals.
• Providing information regarding office facilities and directions as needed.
• Coordinating and scheduling conference room bookings as required.
• Handling incoming and outgoing mail, packages, and deliveries.
• Maintaining office supplies inventory and placing orders when necessary.
• Engaging in clear and prompt communication with employees.
• Participating in the setup and breakdown of events and employee activities.
• Ensuring common office spaces and meeting rooms are clean and presentable.
• Providing administrative assistance to the Operations Manager, including routine office procedures.
• Assisting with travel arrangements for domestic requests.
• Adhering to office security protocols and safety policies. Requirements • Minimum of 5 years of experience in a similar role
• Proven experience in providing Administrative Assistance
• Proficiency in answering and managing a Multi-Line Phone System
• Experience in delivering high-quality Concierge Services
• Strong Customer Service skills
• Proven ability to perform Data Entry tasks with high accuracy
• Exceptional Interpersonal Skills for effective communication and relationship building
• Proficiency in Microsoft Excel for data management and analysis
• Experience in using Microsoft Outlook for email communication and scheduling
• Proficiency in Microsoft Word for document creation and editing
• Demonstrated ability in Organizing Files and maintaining an efficient filing system TalentMatch®
