Education, Training and Experience High school diploma or equivalent; some college or Associates degree preferred 2 years experience as an Administrative Assistant or similar work experience Excellent written and verbal communication skills Knowledge, Skills and Abilities Knowledge of MS Office, with particular proficiency in Word, Excel, PowerPoint and Access Knowledge of general office procedures General office skills, including: front office organization, filing, generating correspondence, mailing, incoming and outgoing shipments, answering telephones , and keyboarding Expense reconciliation skills Travel and meeting arrangement skills Receptionist skills, including screening and directing visitors and incoming calls Ability to multi-tasks Ability to manage multi-line telephone Ability to interact with customers, vendors, and employees at all organizational levels Ability to multi-task effectively Ability to utilize various office equipment, including fax, computer, calculator, Ability to maintain consistent office supplies inventory for office personnel Ability to make travel and meeting arrangements Ability to maintain confidentiality of corporate data Ability to coordinate varying staff schedules Ability to work independently in an effective manner utilizing sound judgment and initiative, willing to accept a variety of tasks. Duties and Responsibilities Under the direct supervision of the Deputy General Manager, perform the following duties and responsibilities. Other miscellaneous duties may be assigned. Perform administrative support duties as necessary to support staff. Responsibilities will include, but not be limited to: Typing correspondence, reports, memos, and other routine office materials Shipping and receiving Computer-related clerical work and receptionist work Planning ,scheduling meetings, and making travel arrangements Coordinating schedules Taking meeting notes Travel and expense reconciliation; and following up on subsequent staff requests Assist with purchase orders Receives and greets customers and other visitors Answers multi-line phones, screens, and directs calls Employment Eligibility Verification Must possess valid documentation to establish identity and U.S. employment eligibility.
