Rowan University Grant Coordinator (Program Coordinator), Rowan-Virtua Department of Family Medicine (Stratford, NJ) in Stratford, New Jersey

The Grant Coordinator will provide day to day support to our grants staff working primarily with our HCOP and AHEC teams. This is a full time, grant funded position.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Responsible for day to day grant finances including:

  • Stipend payments

  • Scholarships

  • Vendor coordination and payment

  • Supplies

  • Other participant costs

  • Processing Sub-awardee invoices

  • Supports the application process for all programming including:

  • Collects and tracks all required onboarding paperwork.

  • Determines applicants HCOP eligibility, including working closely with financial aid for economic eligibility.

  • Records final determination status for each candidate.

  • Ensures all programs, including program staff and volunteers, are in compliance with Rowan University policies, including Protection of Minors, and Rowan Event Registration.

  • Provides administrative support to the NJ AHEC Director including:

  • Scheduling and preparing for AHEC Program Office Meetings.

  • Performs all necessary follow up for open items.

  • Oversees all logistics for on-site programming including conferences, seminars, program site meetings, workshops etc.

  • Provides chaperoning support for programmatic field trips, including 4-6 Saturdays per year.

  • Assists in streamlining other workflows to maximize team efficiency when necessary.

  • Maintains strong relationships with internal and external partners.

  • Schedules and participates in all HCOP and AHEC team meetings.

  • Supports Program Evaluator in database management.

  • Maintains programmatic websites.

  • Provides administrative support for the Alumni Association.

  • Provides administrative support for grant programming including:

  • RIMS affiliate access

  • Canvas access

  • Canvas maintenance

  • Distribution of program supplies to participants

  • Creation and distribution of certificates of completion

  • Participant printing needs

  • Understands and adheres to Rowan’s compliance standards as they appear in Rowan’s Corporate Compliance Policy, Code of Conduct, and Conflict of Interest Policy.

  • Keeps abreast of all federal, state and Rowan regulations, laws and policies as they presently exist and as they change or are modified.

  • Performs other related duties as required.

Bachelor’s Degree, required plus one (1) year of related professional and/or administrative experience in either the public or private sector, required.
