Required Qualifications (as evidenced by an attached resume):
Bachelor's Degree (foreign equivalent or higher). Two (2) years of full-time administrative experience. Proficiency in Microsoft and Google suite applications. Preferred Qualifications:
Two (2) years of full-time administrative experience in higher education.Brief Description of Duties:
Under the supervision of the CASAC Program Director, the CASAC Administrative Assistant will act as administrative support for Stony Brook School of Social Welfare's CASAC educational and certificate programs. Serving as the point of contact for callers to the CASAC Program, the administrative assistant will be responsible for representing the School by answering questions about the program's admissions policies and process, items related to the CASAC internship process and any related questions about the School of Social Welfare's addiction education programs. In addition, the administrative assistant will be responsible for assisting and organizing all internship requirements, collection and organization of all internship documentation, and other special requests from CASAC students and program administrators. The ideal candidate must have strong customer service, computer, and organizational skills.Duties:

  • Maintain daily operations in support of the CASAC Programs with an emphasis on internships/practicums.
  • Process, track, and maintain appropriate documents to facilitate review of programmatic inquiries and program applications.
  • Provide support for the Program to ensure the students' CASAC practice/supervised internship hours are documented and to ensure that students understand their responsibility to complete CASAC practicum requirements.
  • Assist with all supervised internship related tasks including data entry into the School's web-based internship management software, collection of required documentations from students, and responding to inquiries.
  • Assist with communications to CASAC and MSW students. Process incoming and outgoing communications in an effective and timely manner.
  • Assist Dean of Budget and Finance with coordinating, preparing payment documentations and other reporting for MSW students and practicum supervisor for OASAS funded practicums.
  • Prepare administrative statistics and report, as directed by the CASAC Program Director.
  • Provide telephone reception, manage departmental email, calendar management, record keeping, preparation of official documentation, and processing of communication into and out of the office. Maintain confidential office filing systems so that needed information is readily accessible.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.


Special Notes:
This is a full-time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.In addition to the employee's base salary, this position is eligible for $3,087 UUP annual location pay, paid biweekly.
